The Operations Administrator is responsible for building and maintaining the internal organization and infrastructure necessary for the Shared-Use Mobility Center's (SUMC) continued success and growth. The Operations Administrator will be responsible for the day- to-day management of facilities, human resources, bookkeeping, and information technology, while working with leadership and staff in developing operational strategy and designing and implementing operational systems.

This is a role for a detail-oriented, organized, and system-oriented individual with an interest in growing a career in non-profit administration and in advancing social equity and environmental sustainability through transportation innovation. While the core functions of the position such as bookkeeping and HR administration are fixed, the scope of the position has room for flexibility depending on a candidate’s interests, strengths, and level of experience. Responsibilities:

The Operations Administrator routinely has responsibility for the administration of SUMC’s operations activities as assigned by the Operations Director. The Operations Administrator is expected to be proficient at various planning, accounting and business activities, and will collaborate with senior management to identify best practices, devise new solutions, and improve internal systems with an eye toward future needs. Responsibilities include but are not limited to:

  • Administer human resource functions and policies that ensure SUMC is a great
  • place to work and grow professionally
  • Maintain payroll and leave balances and process leave requests
  • Ensure benefits programs are administered in a clear and timely manner
  • Collaborate with managers to carry out hiring and onboarding processes to
  • ensure successful searches, offers, and onboarding. 
  • Manage accounts receivable processes, including developing invoices, track payments, and keep accounts receivable records
  • Manage accounts payable processes, including record-keeping, obtaining payment approvals from managers, and processing payments
  • Maintain timekeeping systems and work with staff to ensure prompt and accurate timekeeping
  • Work with CFO to administer accounting processes such as payroll allocation and monthly closings and expense reporting in Quickbooks
  • Maintain current state and federal licenses, registrations, incorporation, and payment of associated fees
  • Manage access to organizational online accounts and process mail
  • Keep paper and digital records of important documentation such as contracts, tax documents, and HR files
  • Keep offices equipped and in working order, and work with staff to provide access and understand office needs
  • Collaborate with staff to hold office events such as open houses and happy hours
  • Engage with program content and staff as a member of the SUMC team to maintain knowledge of shared-mobility and its role in advancing equity and sustainability through ongoing self-education

  • Optimizing office procedures and programs, and working with the Executive Director to identify and implement operational efficiencies and cost savings. Serving as the liaison to outside consultants for office operations.
  • Participating regularly in IHC Committee meetings. Contributing to special projects for the Membership & Events Committee and IHC Legislative Committee.

Regional Program Manager - After School All-Stars (Chicago, IL)

What: ASAS is currently seeking a Regional Program Manager (RPM) to provide program leadership, operations, and training to ensure that the Midwest region offers high quality, impactful programs. What: The Program and Clinical Director is responsible for the design and implementation of the BASE (Business, Academic, Social, Emotional) Coaching model for individual and group clinical supports as well as partnering with the Project Manager on day to day oversight and quality control of the program experience. Organized around the structures and values of a transformational healing relationship, BASE Coaching focuses on addressing traumatic stress in order to maximize academic growth and employment readiness. BASE Coaches work with individuals and small groups serving as coaches, case managers, program navigators and motivational interviewers.

Importantly, this position also works closely with the Project Manager and Program Specialist to insure the day-to-day operations of Amplify’s programming are well executed. This includes serving as the onsite culture and expectations keeper and overseeing logistics and program flow.

This Director is also responsible for BASE Coaching day-to-day data capture and tracking individual progress from assessment through each phase of support and the programming that follows. This position partners closely with the full Amplify team to regularly analyze data and make both short and long-term program adjustments. The County of San Diego is seeking dynamic, independent, and innovative leaders to fill two positions for Chief, Departmental Operations. These two unclassified management level positions are in Planning & Development Services, which is part the County’s Land Use & Environment Group. 
Under the administrative direction of PDS executive management, these unclassified management positions will be responsible for providing leadership and oversight over all functions and activities of the assigned division. 
THE IDEAL CANDIDATES
The ideal candidates thrive and have demonstrated experience in program management in a fast-paced, high profile and demanding environment; depth and breadth of experience in the discretionary land development process; and practiced in strategic planning and design. Additionally, ideal candidates will be solution-oriented individuals, responsible for ensuring excellent customer service and working collaboratively with stakeholders and applicants.

Ideal candidates will possess a bachelor’s degree or higher in public administration, urban studies, urban design, planning, environmental science, or a related field, and at least five years of professional level planning experience in the public or private sector. Ideal candidates will also have at least two years of full supervisory or management level experience in a planning, land use, design or environmental field. 
MINIMUM QUALIFICATIONS
Qualifying candidates will possess a bachelor’s degree from an accredited college or university, or certified equivalency for foreign studies, AND, five (5) years of experience that demonstrates the ability to perform the essential functions of the classification, which must include two years of management or supervision; OR, a combination of experience and/or education as stated above. 
Note: A master’s degree or higher degree may substitute for a total of one year. In order for education to substitute for work experience as indicated above, college level coursework must demonstrate progress toward a degree and may be substituted on a year-for-year basis.
COMPENSATION
The annual salary range upon appointment for this position will be $100,000 to $117,000. 
Placement within this range is dependent upon the qualifications of the successful candidate. Annual salary reviews are performance-based and goal-oriented.
PLANNING & DEVELOPMENT SERVICES (PDS)
Through operational excellence and attention to customer service, PDS strives to balance community, economic and environmental interests to ensure the highest quality of life for the public of San Diego County. PDS has six major divisions: Advanced Planning, Building Services, Code Compliance, Land Development, Project Planning, and Support Services. 
The Department has an annual budget of $35 million and a total of 180 employees. 
LAND DEVELOPMENT DIVISION
The Land Development Division assists in the processing of discretionary permits through review of project engineering designs for safe and sustainable roadways, and by implementing drainage designs that prevent flooding and ensure water quality protection. In addition, staff provide review and support to applicants during the processing of grading and improvement plans for private and public roads and infrastructure. This division also ensures that project conditions that were identified during the discretionary phase are satisfied so the necessary infrastructure and mitigation measures are appropriately constructed.
PROJECT PLANNING DIVISION
The Project Planning Division manages the discretionary permit application process; the first phase of a three-phase process which includes, discretionary permit review, final engineering, and building permit. The division manages and applies land use policies and ordinances from the local, state, and federal level, in the review of privately initiated permit applications such as, Subdivision Maps, Conditional Use Permits, and Specific Plans. The division is also responsible for ensuring proposed development supports safe and livable communities. Applicants’ requests for General Plan Amendments and Zoning changes are also under the division’s purview.

Duties:  Under the direct supervision of the Schedules Section Group Leader, collects, analyzes, and organizes data to assist the Schedules Section of the Service Management Department.  Provides reports to departmental units as required.  Performs a variety of fixed-route transit scheduling related tasks.  Provides cost estimates for proposed service changes.  Conducts studies related to the delivery of service, utilization of manpower, efficiency of services.  Investigates and responds to suggestions and complaints.  Practices safety precautions and measures at all times.  Performs other related duties as assigned. Performance of these duties may be required at any time of the day or night, any day or night of the week.
Job Requirements
Minimum Requirements:  Applicants must have a Bachelor Degree in Urban Planning or Transportation Planning, Public Administration, Engineering, Logistics, Operations analysis, Business Administration, or related area.  Coursework in Statistics is preferred.  Must possess strong interpersonal skills and demonstrated analytical ability and problem-solving skills.  Applicants must have strong oral and written communication skills.  Basic to Intermediate knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Access are required.  Bilingual abilities are a plus.
