We have an opportunity at our corporate offices in Chicago for a Program Administrator on our Marketing & Member Experience team. This is a hybrid position reporting into our Chicago, IL office, requiring 2 days a week in the office.

The Medical Student Section (MSS) Program Administrator is responsible for managing key programs and projects for the Section and in that capacity (1) implements projects for the MSS with an emphasis on Annual/Interim meetings, Region Meetings, National Service Project, and other Section events as assigned; and (2) contributes to the Section’s policy-making efforts by supporting MSS Assemblies and Standing Committees. 

RESPONSIBILITIES:

Governance and Section Activity

  • Supports Section leaders (committees and regions) in policy-related aspects of strategic planning and program development.
  • Builds, manages, and sustains professional relationships with Governing Council members and other Section leaders. Supports the work of Section committees and other leadership groups as assigned.
  • Contributes to the planning and execution of Section Governing Council meetings, Annual/Interim meetings, and other Section events.
  • Manages Section communications, and develops and implements a communications plan for multiple channels, including email, social media, and web.
  • Provides support to and manages communications with MSS local campus sections, and contributes to the development of strategy for building local campus sections.
  • Manages Section process for soliciting nominations and vetting candidates for leadership positions within the Section, the AMA, and organized medicine.
  • Completes other tasks and projects for MSS and other Sections as assigned.

Policy-making and Subject Matter Expertise

  • Contributes to the MSS policy-making efforts as directed, which may include researching policy and advocacy topics, preparing resolutions and reports, and supporting Section policy-making processes. Analyze policy, data, and the research literature on key medical student related issues.
  • Researches issues of interest to Section members.
  • In collaboration with MSS Policy Analyst, prepare AMA reports, position papers, and correspondence/briefing materials for the Board of Trustees and senior management.

May include other responsibilities as assigned

REQUIREMENTS:

  1. Bachelor's degree from an accredited college or university required.
  2. 3+ years of experience in association management and meeting management with an interest in supporting health care policy development. Knowledge of basic health policy topics and medical students preferred.
  3. Excellent writing, editing, presentation, and communication skills, including demonstrated ability to write a diverse range of material.
  4. Polished interpersonal skills, including well-developed relationship building with physicians and staff. 
  5. Strong organization and prioritization skills.
  6. Able to effectively work with and communicate with numerous stakeholders while managing resources and demands.
  7. Well-developed project management skills including the ability to initiate, manage, and execute multiple projects in a fast-paced team environment under tight time constraints.
  8. Travel and extended hours, nights, and weekends as business demands dictate, required.

National Program Administrator - Public Interest Network

Program and Clinical Director - Amplify Chicago

Who: Amplify Chicago is a justice system to professional pipeline for young people ages 18 to 24 designed to drive economic development and wealth creation in Chicago’s most resilient communities.

What: The Program and Clinical Director is responsible for the design and implementation of the BASE (Business, Academic, Social, Emotional) Coaching model for individual and group clinical supports as well as partnering with the Project Manager on day to day oversight and quality control of the program experience. Organized around the structures and values of a transformational healing relationship, BASE Coaching focuses on addressing traumatic stress in order to maximize academic growth and employment readiness. BASE Coaches work with individuals and small groups serving as coaches, case managers, program navigators and motivational interviewers.

Importantly, this position also works closely with the Project Manager and Program Specialist to insure the day-to-day operations of Amplify’s programming are well executed. This includes serving as the onsite culture and expectations keeper and overseeing logistics and program flow.

This Director is also responsible for BASE Coaching day-to-day data capture and tracking individual progress from assessment through each phase of support and the programming that follows. This position partners closely with the full Amplify team to regularly analyze data and make both short and long-term program adjustments. Additionally, as a start-up initiative piloting its first cohort, this Director is expected to contribute to the ongoing development and refinement of the model in order to drive maximum long-term impact. This position reports directly to the Amplify Executive Director. Responsibilities include:

Managing Director of the Water Program - The Center for Neighborhood Technology (Chicago)

Who: The Center for Neighborhood Technology - Water Program. The Water Program supports an integrated water management approach, with focus areas including stormwater management, water infrastructure, and water policy to promote environmental sustainability and foster equitable communities.

What: The Managing Director of Water will manage a suite of current programs, a staff of five professionals, and project-specific independent contractors.
The Water Program’s core areas of work include:
  • RainReady Home: Identifies flood control and sustainable stormwater management solutions for homes, including landscaping, building, and plumbing improvements. 
  • RainReady Community: Engages residents in a process to create a community-wide risk assessment and a multi-year action plan to reduce and mitigate the impact of severe rain events. 
  • RainReady Academy: Promotes and supports the adoption of the RainReady approach throughout the country by providing technical assistance, coaching, planning activities and charrettes, connections with leading water experts, program materials, and online planning tools. 
  • Great Lakes Water Infrastructure: Analyzes and proposes solutions to water infrastructure challenges in Great Lakes cities, employing an intensive planning charrette process with local government, stakeholders, and national subject matter experts.

Director of Programs and Engagement - University of Chicago Medicine’s Center for Asian Health Equity

Who: The University of Chicago Medicine's Center for Asian Health Equity is the only research center in the Midwest to address the diverse health care needs of Asian Americans and other immigrant populations. The Center builds teams that span disciplines and sectors across the University and diverse Asian American and other immigrant communities to address health disparities, translate evidence into practical interventions, conduct public education, and use data to inform health policy. A vital part of the Center's mission is its strong and sustained community engagement with more than 25 Asian American organizations across the Chicago metropolitan area. Through this engagement, the Center elevates Asian American voices and enhances Asian American representation in conducting and participating in community-engaged research. The Center fulfills a critical need to improve the health of these underserved populations to advance health equity.

What: The Director of Programs and Engagement will work closely with the Centers Director, Executive Director, and other senior staff in leading the administration of programs and development of strategic partnerships with community-based organizations, educational institutions, and local government departments, as well as the engagement with these key stakeholders. The role will help strengthen the capacity of and services for communities.

Collect daily and weekly truck requests from construction crew Foremen.

Prepare schedules assigning dump trucks to crews based on truck requests and contract specifications and generating various program reports.

Responsible for ensuring contract specifications for truck requests are compiled through the assignment of trucks (e.g., weight limits are maintained).

Monitoring the location of trucks throughout the workday through the use of GPS.

Work with the Foreman throughout the workday on the re-assignment of trucks.

Contact vendor dispatch offices to ensure trucks are dispatched appropriately.

Review and approve vendor invoices for payment.

Selection Criteria
