Manager of Operations – EduDream (Chicago)

What: EduDream has an exciting opportunity for an individual with experience with office operations, financial management, and human resources functions of a non-profit. The Manager of Operations will play a pivotal role helping the day-to-day operations of EduDream run smoothly so we can achieve our mission. The ideal candidate will be organized and flexible and will enjoy the challenges of supporting a small but mighty team with multiple project needs. This individual must be able to function effectively in a variety of roles within a dynamic environment under minimal supervision. The Manager of Operations reports directly to EduDream’s Directors. Duties and Responsibilities include:
  • Coordinate timely preparation and submission of funding applications and proposals and ensure that internal and external deadlines are effectively met
  • Execute contracts and oversee new client onboarding 
  • Develop, manage, and update organizational databases, including cloud-based systems related to project management, client relationship management (CRM), and financial management 
  • Run regular reports to monitor sales, outreach, and projects and communicate with team 
  • Ensure electronic files are organized and up-to-date 
  • Develop and maintain internal operations documents (i.e. templates, trackers, forms) 
  • Contribute to the implementation of more efficient processes, systems and technology 
  • Assist with other projects, as needed 
  • Manage client invoicing and related communication and schedule 
  • Coordinate and schedule calendars/meetings, draft and send out agendas, assemble meeting materials Ensure smooth functioning of all office support systems including inventory of office supplies, equipment, and telephones, including repairs and replacement as needed 
  • Provide administrative support to new hires and interns 
  • Develop and maintain organizational proposal language 
  • Assist in the development of clear and compelling proposals 
  • Research new funding opportunities 
Qualifications:
  • Bachelor’s Degree or equivalent experience preferred 
  • Knowledge and understanding of EduDream’s mission, clients, and services 
  • Outstanding organizational and time management skills, with the ability to manage multiple and shifting priorities, projects and deadlines in a fast-paced environment 
  • Excellent interpersonal, written and verbal communication skills 
  • Superior attention to detail • Strong entrepreneurial spirit and resourcefulness in problem solving 
  • Ability to function independently and proactively in a small, ambiguous and results-oriented work environment 
  • High level of computer proficiency, particularly with the Microsoft Office suite and cloud-based systems 
  • Demonstrated ability and willingness to learn and use new data systems 
  • Experience or interest in philanthropy, nonprofits, foundation operations and management 
  • Belief in EduDream’s mission and core values 

Other Highly Preferred Knowledge, Skills and Experience:
  • Prior experience in an administrative, operations, or project assistant/coordinator role 
  • Experience with database systems and web-based communication tools
