This  position will support the activities of the Department and serve as the staff liaison to the  Village’s Sustainability Commission. The Management Analyst is responsible for assisting with  the preparation and monitoring of the Department budget; assisting the Director with the  management of the Village’s scavenger contract and procurement related activities; acting as  the Department’s risk management coordinator; working alongside the Administration  Department to coordinate and execute the Department’s communications; and conducting  special projects as assigned. This position requires a minimum of two to three years of work experience in a municipal  government in a Public Works, Building, or Community Development Department, as well as a  Bachelor’s Degree from an accredited college. A Master’s Degree in Public Administration or a  related field is strongly preferred. 

The salary range for this full-time, exempt position is $63,004-$91,640 plus an excellent  benefits package. Starting salary is DOQ. This position will be required to attend evening  meetings of the Sustainability Commission and, as needed, Village Board of Trustees meetings.

PRIMARY POSITION FUNCTION/SUMMARY:

To administer, coordinate, market and provide student support for Grainger College of Engineering programs in Chicago. This position works closely with several units within The Grainger College of Engineering at the University of Illinois Urbana-Champaign (GCOE), as well as civic and business organizations in the Chicagoland area.

MAJOR DUTIES AND RESPONSIBILITIES:

Program Management

  • Coordinate all aspects of daily operations for GCOE programs including Engineering City Scholars and related events for students, faculty and corporate partners.
  • Serve as main point of contact for all prospective students and participating students in GCOE Chicago programs.
  • Plan, coordinate and execute events and activities for the Engineering City Scholars program and additional Grainger activities in Chicago such as orientation, extracurricular activities, networking events and other programming activities to enrich the student experience while in Chicago.
  • Oversee preparation for GCOE classes in Chicago including coordinating with faculty.
  • Facilitate the recruitment and placement of all prospective students into the Engineering City Scholars program and additional Chicago programs as needed. This includes coordinating with the affiliated academic departments to ensure all admission requirements are met as well as sending admission notifications and other related materials to students.
  • Coordinate all student services activities for participating GCOE students with Urbana-Champaign campus units including enrollment, student housing matters, addressing related questions and issues, etc.
  • Oversee the maintenance of accurate student records. Maintain up-to-date written guidelines outlining procedures to be used: application and qualification process, course/work schedules, outline expectations/requirements for students, employers, advisers, and administrators. Maintain critical communications with supporting departments, i.e., financial aid.
  • Conduct program assessment and follow-up studies. Prepare for and participate in debriefing of activities and events with staff to evaluate goals and effectiveness and identify issues and implement change.
  • Communicate with key Urbana-Champaign campus stakeholders such as registrar, financial aid, student insurance, and other student-focused operations to ensure processes and procedures are up to date.
  • Work outside of typical hours as required for special events, including nights and occasional weekends.
Marketing/Recruiting (students and corporate partners):

  • Create and execute a marketing plan to include social media (Facebook, Twitter, LinkedIn, Instagram) and promotional materials (print materials, digital messages and news releases).
  • Collaborate with other departments/student services to effectively market and promote Grainger programs in Chicago to target audiences, including the technology community, GCOE faculty liaisons, student organizations, and targeted student populations, as well as business and civic organizations in the Chicago area.
  • Liaise with Grainger Engineering marketing and communications team to oversee the production of marketing materials related to Chicago programs including brochures, website, handouts, posters and other printed and digital materials as needed.
Relationship Development/Management

  • Assist Director in managing relationships with corporate and civic partners, alumni, and outside vendors by attending meetings and events as needed, and assist in expanding relations with recruiters, GCOE alumni, faculty, and University administrators in support of Engineering City Scholars and other college-wide programs as directed.
  • Work with corporate partners/students to address performance or other related issues regarding student internships.
  • Liaise with the GCOE offices/staff for Marketing and Communications, Corporate Relations, Alumni Relations, Advancement, Engineering Career Services, Engineering Administration and academic departments as necessary.
QUALIFICATIONS

Required: 

  • Bachelor’s degree
  • A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position.
  • Demonstrated professional work experience in corporate relations, marketing, student career services/affairs, corporate recruiting, or related area.
  • Demonstrated experience working with social media (Facebook, Twitter, LinkedIn, Instagram).
  • Demonstrated experience with information technology including use of the Internet and familiarity with various word-processing, database, spreadsheet, and presentation programs.
Preferred:

  • Three years of professional work experience in corporate relations, marketing, student career services/affairs, corporate recruiting, or related area.

Scope: The Sierra Club’s Clean Transportation for All Campaign works at the local, state, and national levels – using a lens of equity and justice – to reduce greenhouse gas emissions and harmful air pollution from the transportation sector, while focusing on making clean transportation solutions affordable, accessible, and convenient. 

The Illinois Chapter works with our powerful base of 14 volunteer-run Groups and over 130,000 members and supporters to pass environmental legislation and advocate for policies that protect our water, air, and land. 

This position would work at the intersection of the Clean Transportation for All (CTFA) Campaign and the Illinois Chapter. The Advocate would work in Illinois with staff and volunteers to plan, coordinate and implement strategic campaigns to address harmful air pollution and greenhouse gas emissions from the transportation sector, which is the largest source of climate pollution in the United States and Illinois. The Advocate ensures that the campaign engages the Illinois Chapter of the Sierra Club’s members and supporters, and builds powerful partnerships that are oriented toward a shared vision of climate and environmental justice.

The Advocate will collaborate closely with staff in Illinois  working towards adoption of 100% clean energy. The position will initially focus on the transportation sector, but it may shift to include related priorities across Sierra Club Illinois’s energy campaigns depending on needs.

Job activities include but are not limited to:

  1. Team Leadership & Project Management: Convenes and coordinates staff and volunteer team and facilitates the development and implementation of a strategic campaign plan to reduce harmful pollution from cars, buses, and trucks. Serves as the staff advisor to the Chapter’s Clean Transportation team, which has representation from local Groups. Inspires and facilitates shared vision with team members and collaborators. 
  2. Policy Development & Implementation: In collaboration with staff and volunteers, works to craft policy related to transportation and plan strategies and tactics to implement those policies. Synthesizes information and gathers perspective to inform strategy, and acts as a subject matter expert, providing technical, policy, and strategic vision and guidance to staff, volunteers, and partner organizations . In collaboration with the team and external partners, develops policy positions and advocates before decision-makers. Cultivates productive relationships and represents the Sierra Club with key decision-makers and coalitions. Works with the Chapter organizers to support Sierra Club’s power building goals, including  ensuring campaign strategies and activities are designed to build a base of leaders and increase and deepen strategic partnerships. Works with the Communications coordinator on media outreach activities related to the campaign. Writes, edits, and reviews both internal and external advocacy materials.  Engages with legislators and hosts town hall meetings to advocate for Clean Transportation in Illinois.
  3. Effective; Equity-Centered Collaboration: While working across teams and partners, implements Sierra Club best practices regarding the Jemez Principles for Democratic Organizing and justice, equity, and inclusion practices and goals.  Designs and implements campaign strategies rooted in an equitable transition to clean transportation and clean energy that serve front-line and directly impacted communities.  Collaborates with staff organizers in pursuit of these goals. 
Seasonal Activities: Heavier seasonal workloads may occur as a result of project deadlines, staff absences and vacancies, and during peak activity periods. Intermittent weekend and/or evening work will be required.

We Will Chicago Promoter - Muse Community + Design

About

MUSE Community + Design is seeking outgoing, well-organized, and enthusiastic neighbors to
join our team as We Will Chicago Promoters from July to October. Meeting Chicagoans where
they are, our promotion team will be a key part of this summer’s public engagement for We Will
Chicago, Chicago’s citywide plan.

We Will Chicago is the first citywide plan in more than 50 years, and the City of Chicago is
bringing the planning process to every Ward this summer. DPD will release a draft document in
July outlining the Goals and Objectives of We Will Chicago. Promoters will be trained to educate
the public about the We Will Chicago framework and collect feedback. To learn more about We

As a We Will Chicago Promoter, you will represent the Chicago Department of Planning and
Development (DPD) and the We Will Chicago planning process at events across the city this
summer and fall. Promoters will staff tents/tables at events like street festivals, farmers markets,
outdoor concerts, and block parties.

Promoters will use digital tablets at summer events for the public to take digital surveys at the
We Will Chicago tents and should be comfortable helping neighbors respond to a survey on a
digital device, if needed.

This is a seasonal position, offering up to 12 hours per week from July - October.

Responsibilities:
  • Represent the City of Chicago Department of Planning and Development (DPD) and We Will Chicago at assigned in-person events.
  • Assist Promotion Captains with setting up and taking down We Will Chicago engagement equipment and materials at events.
  • Facilitate conversations with members of the public and encourage interaction with provided engagement activities, which may include digital surveys on tablets, swag giveaways, games, and other activities.
  • Take photos on your phone at every event and submit images to the MUSE Community + Design team.
  • Accurately input event recap information in a digital format at the conclusion of every event.
Required Skills and Experience:
  • Availability to work nights and/or weekends.

We Will Chicago Promotion Capitan - Muse Community + Design

About
MUSE Community + Design is seeking outgoing, well-organized, and enthusiastic neighbors to
join our team as We Will Chicago Promotion Captains from July to October. Meeting
Chicagoans where they are, our promotion team will be a key part of this summer’s public
engagement for We Will Chicago, Chicago’s citywide plan.

We Will Chicago is the first citywide plan in more than 50 years, and the City of Chicago is
bringing the planning process to every Ward this summer. DPD will release a draft document in
July outlining the Goals and Objectives of We Will Chicago. Promotion Captains will be trained
to educate the public about the We Will Chicago framework and collect feedback. To learn more

As a We Will Chicago Promotion Captain, you will represent the Chicago Department of
Planning and Development (DPD) and the We Will Chicago planning process at events across
the city this summer and fall. Promotion Captains will provide logistical support to We Will
Chicago Promoters at events like street festivals, farmers markets, outdoor concerts, and block
parties. Promotion Captains will be responsible for transporting We Will Chicago Promotion
equipment and materials to events and ensuring Promoters are prepared for a successful
engagement.

This is a seasonal position, offering up to 24 hours per week.

Responsibilities:
  • Represent the City of Chicago Department of Planning and Development (DPD) and We Will Chicago at assigned in-person events.
  • Transport We Will Chicago engagement equipment and materials from a storage facility located in Wicker Park to events and back.
  • Assist Promoters with setting up and taking down We Will Chicago engagement equipment and materials at events.
  • Coordinate with MUSE staff and Promoters to ensure a smooth event experience.
  • Take photos on your phone at events and deliver to the MUSE Community + Design team as requested.
  • Submit Captain event reports in a timely fashion.
  • Ensure Promoters submit event reports in a timely fashion.
Required Skills and Experience:
  • Availability to work off hours and/or weekends.
  • Valid driver’s license and reliable access to a vehicle to be used during shifts.
  • Comfortable working in a fast-paced environment, bending, stooping, standing long hours, and lifting up to 40 lbs.
  • Communicate effectively with all people, regardless of ages, abilities, cultural groups, economic statuses, sexual orientation, and/or disabilities.
  • Comfortable speaking with strangers and in public.
  • Familiarity with the city of Chicago and its neighborhoods.
  • Comfortable travelling to and working in any neighborhood in the city of Chicago. We will do our best to assign Promotion Captains to events close to their home neighborhoods.
  • Ability to troubleshoot basic technological issues on mobile devices like tablets.
  • Outgoing and energetic.
  • Manages Promoters at the assigned event; fosters a team spirit.
  • Prompt, punctual, and professional.
  • Access to internet and a device to complete weekly paperwork.
  • Works well in an unstructured and informal environment, with limited supervision.
  • Good at solving problems, thinking creatively, and self-motivation.
  •  Ability to take direction and to learn basic facts about urban planning and the We Will Chicago planning process.
  • Other duties as assigned
Preferred skills and experiences:
  • Fluent in English. Fluency in other languages such as Spanish, Polish, Mandarin, and American Sign Language highly preferred.
  • Experience working or volunteering in a community engagement role.
  • Experience in a customer service role.
  • Confidence driving and parking on Chicago streets.
Requirements:
Successful completion of a paid training course that covers We Will Chicago key elements,
public engagement best practices, media relations, cultural sensitivity, and conflict resolution.

Constituent Services Coordinator - 40th Ward Office Chicago

Title: Constituent Services Coordinator 

Description: The part time Constituent Services Coordinator works with the constituent services team to address a wide range of resident needs. They respond to concerns including city issues and quality of life matters; identifying potential solutions; and serving as a proactive advocate for residents. In addition, they will also manage the 40th Ward’s communications. Bilingual candidates (specifically Spanish speaking) are highly desired.

Responsibilities:

  • Report directly to the Chief of Staff and supervise department volunteers and interns as applicable.
  • Work with 40th Ward team to address and resolve incoming phone, email, and walk-in constituent service requests.
  • Develop reports to track Constituent Services Requests (CSRs) while overseeing and managing Airtable data.
  • Perform 40th Ward surveys, spending time “in the field” to assess reported issues and to monitor current projects and conditions.
  • Manage communications funnel including social media, website and weekly newsletter.
  • Participate in projects such as event set up, requiring the ability to lift items weighing 20 lbs.
  • Perform other duties as assigned.

Minimum Qualifications:

  • Resident of Chicago, IL.
  • Very strong interpersonal and verbal communication skills.
  • Able to hold conversations on sensitive, critical matters while being empathetic, respectful, and honest.
  • Resourceful, responsive, and service-minded. Willing to go the extra mile and seek creative solutions.
  • Ability to work some evenings and weekends; maintain a flexible schedule for community meetings.

Desired Knowledge, Skills, and Attributes:

  • Communications skills – writing, social media, website, press releases, etc.
  • Experience in using AirTable and/or Salesforce
  • Knowledge of the 40th Ward
  • Bilingual (Spanish preferred)

Compensation:

  • Position is part-time, 28 hours per week
  • $25 per hour

Qualifications:

A minimum of a Master’s degree required ABD (pre-doctoral) in Public Administration, Public Affairs, Urban Planning, Economics, Political Science with a focus on government finance and budgeting PhD preferred.

Relevant experience in research-based organizations required. Preferably in either university, foundation, or nonprofit or civic organization.

Experience in research on government finance and budgeting, or related field.

Strong writing and communication skills, ability to supervise staff, plan and manage budgets.

Preference for demonstrated communications skills, such as publications, demonstrated experience in staff management and budget preparation.
