The University of Illinois at Chicago (UIC) invites candidates for the Assistant
Director, Business Operations position. Reporting to the Executive Director of
Operations for Development, the Assistant Director will be responsible for the
management and regulation of business and financial operations for the Central
Development Office including the business and finance responsibilities of the
college/unit chief advancement officers.

Significant responsibilities include:

• In accordance and compliance with the policies and rules established by the
university, assists in the development and implementation of a comprehensive set of
business and financial operating procedures for the department; relating to but not
limited to budgeting, procurement policy, financial analysis, account
reconciliation, and approval of transactions.
• Participate in the administrative developments of the office; goal development,
long-range planning and task allocation to effect goals.
• Responsible for the chief advancement offices business and finance operations;
centralized campus fundraising costs (data collection and review expenditures with
Associate Vice Chancellor to ensure each unit/college properly codes before
submitting to UIF) , financial and resource allocations, including transaction
approval, establishing and maintaining the annual state budgets, budget preparation,
contract submissions and approvals to UI Foundation, account reconciliation and
analysis of indirect cost recovery account, and all campus gift accounting; vendor
negotiation and application.
• Provide expertise in consult with the Executive Director of Operations, Vice
Chancellor, UI Foundation, Office of the Chancellor and other relevant contacts on
all financial matters affecting the department; develop and provide management
reports, analyses, data and financial information; recommend possible courses of
action, establish new procedures or make changes in the existing procedures so as to
increase the operating efficiency of the department.
• Coordinate human resource administration including personnel administration and
payroll: administer and executes day to day activities, maintains customer service
standards, manage and exercise knowledge of University payroll system in order to
ensure all staff are paid on a timely and accurate basis, maintain personnel records
and files.
• Design and develop finance and human resource reporting tools: create and monitor
appropriate retention rate report and staff monthly leave reports (academic and sick
leave reporting).
• Manage the business graduate assistant whose primary responsibility is processing
reimbursements and vendor payments
• Manage staffing for the department’s information technology section which provides
enhancement and modification of the departments computer network as well as
technical support.
• Interpret and communicate policies related to the financial operation and human
resource administration of the unit, as well as applicable policies and procedures
applicable to the campus and/or university wide.
• Act as the departmental representative on all matters affecting the department’s
business/financial operations e.g., communication with the Office of the Chancellor,
university and foundation administrators/offices and auditors as well as other
college and campus officers.
• Perform other related duties as required
Minimum education and work experience:
• Bachelors degree in business or related field; Masters Degree/MBA preferred
• Minimum 5 years experience in business operations management responsibility
• Excellent oral and written communication and interpersonal relations skills.
• Demonstrated ability to work collaboratively in a team-based organization.
• Ability to make administrative/procedural decisions and judgments
• Strong organizational skills and ability to mange multiple priorities in a
high-volume environment.
