The College of Dentistry is seeking an Accounting Associate who will perform a variety of tasks that include accounting, budget analysis and review, cost accounting, and/or other comprehensive fiscal functions under the supervision of the Director of Business Operations. The Accounting Associate will monitor fiscal solvency and ensure funding compliance within the College of Dentistry.  The position will require the individual to develop, prepare, audit, revise, and/or maintain a variety of accounting, budget, and financial reports, statements, and records in accordance with University of Illinois at Chicago and State laws, codes, statues, rules, regulations, etc.  This individual will also be responsible for training new and current staff on many of the financial systems used within the University of Illinois at Chicago.
The Accounting Associate will be responsible for performing the following duties:
  • Assists the Director of Business Operations in development, coordination and implementation of administrative and financial policies and procedures for College departments.
  • Assists in the development of the annual College budget planning which includes providing monthly financial reporting, forecasting information and reviewing the budget for expenditure monitoring.
  • Prepares, processes, and monitors journal entries, earning transfers, monthly ledgers, and bank reconciliation.
  • Designs and recommends changes in internal accounting processes, accounting policies, working with other fiscal and program staff as necessary.
  • Analyzes, reconciles, and/or evaluates the accuracy of general ledger, accounting details, revenues, expenditures, accounting/budget/financial reports, ensuring proper amounts and receipts
  • Provides training and direction to College Department Business Managers on various University fiscal systems and fiscal processes
  • Performs, reviews, and monitors purchasing activities (i.e. ordering, requisitions/purchase orders, vouchers, approvals, etc.)
  • Reviews, maintains, and monitors lab invoice process and payments.
  • Assists with the management and reconciliation of financial statements and cash accounts.
  • Assists in reconciliation of property inventory for the College and assist departments in completing timely updates to equipment inventories.
  • Ensures department P-Card & T-Card (University credit card) compliance and reconcile assigned cardholders transactions.
  • Acts as liaison with external campus units including University Payables and Purchasing to assist in transaction processing and ensure compliance with policies and procedures.
  • Monitors and ensures compliance with University fiscal policies, guidelines, internal fiscal controls, and applicable Federal and State regulations, codes, rules, ordinances, and/or statutes
  • Performs other related duties and participate in special projects as assigned.
Minimum Qualifications
1. Bachelor’s degree with a major in Accountancy or a related field
2. (A) Two years of professional level accounting experience
      OR
(B) Possession of a current registration as a Certified Public Accountant or a valid License to practice Public Accounting
      OR
(C) Master’s degree in Accountancy or a related field

Additional Preferred Qualifications
Work experience and/or training in Accounting preferred, preferably in a non-profit or University environment.
