Special Events Faciltator, Office of Academic & Enrollment, UIC
The University of Illinois at Chicago Office of Academic and Enrollment Services seeks a full-time Special Events Facilitator to plan, execute and manage special events and public functions on behalf of the Office of the Vice Provost for Academic and Enrollment Services and the Office of Admissions Recruitment, acting as a liaison to both external and internal constituencies. The position is responsible for planning a wide range of general outreach, recruitment and yield activities to support campus enrollment goals.
Duties:
Plan and execute annual events calendar in coordination with the Vice Provost for Academic and Enrollment Services and Director of Admissions Recruitment. Determine and coordinate event venue and logistics such as catering, room setup, audio visual, etc. Oversee day of event logistics (including events held early morning, nights and weekends). Solicit, secure and schedule event speakers. Coordinate speaker itinerary and travel arrangements as needed. Develop and coordinate the distribution of internal and external marketing literature and secure mailing lists. Prepare proposals, presentations, and communication materials using traditional and electronic means. Develop and manage timeline and event agenda. Provide content for event web sites, social media and electronic communication campaigns. Coordinate UIC participation in external and community events. Manage and train event staff, committees and volunteers. Identify vendors, develop request for proposals, review bids and negotiate contract for venue, catering, award fulfillment and services. Manage communications and invitations. Research and recommend pricing policy; develop and monitor special events budget. Track and verify spending and bill units for individual programs. Produce reports and documentation in response to state tax audit requests.
Must be available to work outside of normal business hours, including early mornings, evenings and weekends around previously scheduled events.
Minimum Qualifications:
1. High school graduation or equivalent
2. Any combination totaling five years from the following categories:
(a) progressively more responsible business experience performing duties which included responsibility for special events coordination
(b) college course work with a concentration in business, marketing, advertising, public relations, human resource, communications or related areas as measured by the following conversion table or its proportional equivalent:
60 total semester hours equals one year
90 total semester hours equals two years
120 total semester hours equals three years
Preferred Qualifications:
Bachelor’s degree.
A minimum of 3 years experience developing, planning and implementing special events; preferably in a higher education enrollment management environment.
Excellent verbal and written communication and interpersonal relation skills.
Experience working with first generation students and diverse populations.
Demonstrated ability to work collaboratively in a team-based organization.
Experience with video-conferencing and multi-media equipment.
The salary for this position begins at $40,000.
