Position Title: Brownfields Project Coordinator

Position Type: Part-Time, Hourly Grant Funded Position- approx 25-30 hrs per week

Length of Term: Nov 2011-October 2012 Wage: Based on qualifications and experience

General Summary of the Position:

Under direction of the Project Manager, the Brownfields Project Coordinator will coordinate activities related to the implementation and management of City’s USEPA-funded Brownfields Cleanup Project.

Essential Duties & Responsibilities:

GOAL 1: Provide research, planning and support to implement U.S.EPA Brownfields

Cleanup Project

· Organize and coordinate work plan activities, budget and timeline to meet grant project goals

· Support staff with preparation and management of materials and reports

· Work closely with the City staff, consultants and Blue Island community to maintain communication and promote project activities

· Assist staff in identifying opportunities to utilize local disadvantage small business (DBE), ensuring compliance with federal requirements

· Under guidance of staff & consultant, prepare project status reports to track workflow; Update grant project tasklist

· Collect & input data; Update existing brownfields inventory

GOAL 2: Organize & coordinate outreach efforts to ensure representative stakeholder involvement in the implementation

· Coordinates outreach, promotions and communications related to the Brownfields Cleanup

· Organize and coordinate community involvement events

· Prepare project marketing materials

· Organize and develop web materials to provide project updates to the community

GOAL 3: Support staff with programmatic activities to successfully meet federal funding requirements

· Support staff with tracking budget, milestones and deliverables per grant work plans

· Support staff with preparation of quarterly progress reports and maintain proper records

· Ensure accurate and timely preparation of grant fund reimbursements; Create and maintain appropriate documentation to track grant finances

· Provide administrative support for recordkeeping, organizing and maintaining grant and contract file system per federal requirements

· Schedules and prepares for weekly department meetings.

· Accurate time tracking for invoicing

· Additional Responsibilities:

· Assist project manager with development of weekly work plan

· Coordinate weekly project meetings; Follows up with meeting minutes

· Provide general research and technical support for department staff

Qualifications and Experience:

Bachelor’s Degree in Urban Planning, Public Administration or related field is desirable. A combination of education and experience that provides the required abilities is also qualifying.

Knowledge of computer hardware and software programs is preferred. Experience with managing grant projects is preferred.

Required Skills:

· Excellent written and communication skills

· Project coordination and management experience;

· Ability to work independently and in a team environment as needed

· Must be able to prioritize and perform multiple activities under tough deadlines
