Service Coordinator - Austin Coming Together

Position Description

The main responsibilities of the Service Coordinator will be to 1) engage Austin residents and stakeholders through the Austin Community Hub; 2) support coordinated intake and referral with participants and partners; 3) establish rapport, manage communications, and collaborate on events across ACT’s network of service providers; 4) support individuals and organizations in the ACT network; as well as 5) provide administrative support to Hub operations. This includes, but is not limited to, coordinating talking circles and group information sessions, facilitating convenings for the ACT network, management of ACT’s coordinated intake and referral system, and data tracking and reporting. The Service Coordinator will manage a substantial portion of our relationships with direct service providers. Therefore, it is imperative that he/she/they reflect ACT’s values, maintain a client-centered approach, and perform the work with integrity.\

Description

The Case Processing Analyst (CPA) will support operations on site with the following duties:
• Reviewing applications for Alien Employment Certification in accordance with applicable laws, regulations, standard operating procedures, and directives issued from the National Office of Foreign Labor Certification; maintaining files in an accurate manner; preparing a variety of documents, correspondences, and reports using word processing and database software; answering telephone calls in a courteous, business-like manner; assisting in the validation of the business status of the employer and confirming the employer’s knowledge that an application has been filed on the firm’s behalf; obtaining prevailing wage reviews; and providing recommendations to Federal staff regarding the disposition of each application that is fully supported by the case documentation.
• Working in a high-pressure work environment with the ability to interact with people at all levels.

POSITION DESCRIPTION:
The San Francisco Planning Department is currently recruiting to fill multiple 5275 Planner Technician positions. These positions can be assigned in the following divisions: Current Planning, Zoning and Compliance, and Environmental Planning. The Planner Technician will perform a wide variety of technical planning work and administrative support functions for the division.
Under general supervision, the Planner Technician performs a wide variety of technical planning work and administrative support functions, serving as paraprofessional support to the Planner series.
Essential duties include, but are not limited to: 
  • Case Management: Performs the Intake process, including checking for completeness and entering application data into the database and tracking system; closes out cases, including finalizing motions, resolutions, and variance letters, in accordance with established Department procedures
  • Process minor planning applications
  • Provides technical support to Planners, such as creating maps; creating and maintaining project databases and contact lists; conducts research on various planning and design topics; reviewing and updating data in the database and various planning system; interpreting and monitoring established departmental procedures to enhance workflow; providing basic systems support (e.g., PPTS, eMerge) for training new users and respond to requests as problems arise
  • Provides information orally and in writing to the public, other City agencies and staff; advises and assists the public on matters related to application permit procedures
  • Maintains divisions’ libraries, recordkeeping and filing systems, both hard copy and electronic and performs general administrative and clerical duties
  • Prepares correspondence, reports, charts and other graphic materials as needed; and assists Planners in creating public notices and posters
  • Coordinates and tracks administrative staff assignments for the division; may assign, supervise and review the work of clerical personnel
  • Assists in arranging special activities such as community meetings, workshops, conferences, etc.; including setting-up events, closing-out events, registration, attendee tracking, materials support etc.
MINIMUM QUALIFICATIONS:
1. Possession of a high school diploma, General Education Development (G.E.D.) equivalency, or a high school proficiency certificate; AND
2a. Two years of verifiable full-time work experience in technical land use planning in a city, county, or regional planning office; OR
2b. Two years of verifiable full-time administrative support experience which included processing public noticing for land use staff reports and environmental assessment reports and/or the permitting for land use development.
Substitution: Two years of college level coursework from an accredited college (30 semester/45 quarter units equals one year) in urban studies, urban planning, architecture, landscape architecture, geography or a related field can substitute for two years of verifiable full time work experience as described in 2a.

Organization Description
The mission of Austin Coming Together is to increase the collective impact of our member organizations on education and economic development outcomes in the Austin community of Chicago. We carry out our mission by developing and sustaining shared leadership in our four focus areas: Early Childhood Education and Care, Youth Development, Workforce Development, and the Built Environment.
Project Description
The goal of Austin Career Connect is to create an effective pipeline for Austin residents into living-wage careers in the trade industries. ACT will achieve this goal by working with community partners and career training programs to orient community residents to careers in trade industries, assist them in applying for training programs, and supporting their progress toward attaining jobs with career potential.
Position Description
The primary role of the Project Coordinator is to organize and manage a coordinated intake process for trade-industry training providers that serve the West side. More specifically, the Project Coordinator is responsible for carrying out the following duties:
  • Recruit career development professionals to attend Career Connect orientations
  • Recruit potential participants for training programs
  • Work with partners to organize monthly Career Connect orientations
  • Manage the coordinated intake system for Career Connect partners
  • Perform intake interviews and provide basic career counseling and case management services for potential training-program participants
  • Connect training-program participants with additional supports as necessary
Qualifications
The Project Coordinator should hold a Bachelor’s degree in Business, Human Resources, or a related field; and 2-3 years experience in Community Engagement or Workforce Development. The position requires familiarity with the Austin community, experience with data management, proficiency with email marketing and social media tools, and a high level of self-motivation.
Hours and Compensation
The Project Coordinator will be compensated based on experience for 30 hours per week for a trial period ending June 30, 2015.
