Community Development Administrative Assistant – The City of College Place (WA)

Who: City of College Place – Community Development Department (located within the Walla Walla Valley of Southeastern Washington State)

What: This is an outstanding opportunity to provide support for a variety of community development functions within the City. The ideal candidate will demonstrate the highest standards of personal and professional conduct. Candidates can expect to work in an environment that is dynamic and service oriented. It is crucial for the candidate to be highly skilled in public relations and customer service. Excellent verbal and written skills, as well as a documented work history of integrity and accuracy are essential. Specific responsibilities include:
• Preparing reports, maintaining appropriate filing systems and tracking projects.
• Provides primary data entry into the permitting program, coordinates permit processing across departments, issues and closeout permits.
• Provides administrative assistance in areas of meeting minutes, scanning, mailing preparation, archiving, travel arrangements, and community outreach support.
• Coordinate department activities with those of other departments and offices to assure a consistent approach towards common projects and interests.
• Excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.
• Order supplies, prepare purchase orders, and associated receiving.
• Prepares monthly newsletter items for the Community Development, Engineering, and Public Works Departments.
• Maintains website content information for the Community Development, Engineering, and Public Works Departments.
• Attends regular and special Planning Commission, Historic Preservation Commission and other committee/commission meetings as assigned; performs an accurate recording of the proceedings and reparation of the minutes, using proper legislative terminology; and assists in the preparation and maintenance of associated packets;
• Supports the vision, mission, values and goals of the City in serving our customers and fosters a positive environment by personally choosing behavior aligned with our values and rules of conduct.
• Assist with preparation of special city events.
• Requires the ability to accurately handle the receipt, balancing, and entry of large quantities of money and data.
• As part of being cross trained with the Utility Clerk, receipt of utility payments.
• Performs related duties as assigned.

Qualifications: Proven administrative or assistant experience. Knowledge of office management systems and procedures. Excellent time management skills and ability to multi-task and prioritize work. Attention to detail and problem-solving skills. Excellent written and verbal communication skills. Strong organizational and planning skills. Proficient in MS Office. At least 5 years of experience in the field or in a related area. High school diploma or equivalent; college degree preferred.
Required Knowledge:
• Records management systems, techniques, and technology.
• Computer applications, and related equipment, to perform daily tasks.
• Oral and written communication skills.
• Correct English usage, grammar, spelling, punctuation, and vocabulary.
• Interpersonal skills using tact, patience, and courtesy.
Skills and Abilities:
• Work independently with little direction.
• Maintain confidentiality of politically sensitive materials and information.
• Establish and maintain effective working relationships with diverse populations, co-workers and other agencies and work cooperatively with others as a member of a service-oriented team.
• Deal in a positive, courteous and professional manner with personnel of other agencies, public officials, city employees and the public utilizing tact, patience and courtesy.
• Work independently from general guidelines and broad program objectives.
• Perform administrative work using independent judgment, initiative and discretion.
• Identify and utilize many sources of information for research purposes.
• Work safely and in compliance with federal and state laws, city policies and standards.
• Establish and maintain cooperative and effective working relationships with co-workers, supervisors, other city staff, and the public.
• Relate to others in a professional, courteous and respectful manner.
• Maintain a work environment free of discrimination, harassment, and retaliation.
• Promote diversity and multi-cultural understanding in the workplace and the community.
• Ability to meet timelines and schedules.

Benefits: The salary is $3,234-$3,640/month. In addition, there is an extensive benefit package that includes medical, dental, vision, and participation in the PERS Retirement Plan.
