Special Projects Coordinator
 
DESCRIPTION
Under the supervision of the Director, the Special Projects Coordinator will be responsible for developing, coordinating and implementing various programs and activities to support the contract administration, technical services and reporting needs of the Office of Diversity & Inclusion. This position is also responsible for performing a wide-range of administration work of considerable difficulty. The incumbent performs support duties of a highly responsible and confidential nature to provide continuity and efficiency of all office operations and activities. 
 
SUMMARY OF PRIMARY ACCOUNTABILITIES
Examples of responsibilities of this position may include, but are not limited to:
• Assist Director with program management activities across the department as assigned
• Assist Director in tracking and resolving issues.
• Consolidate weekly and/or monthly status reports from individuals and/or teams
• Track status of action times and follow-up with individuals to ensure timely completion of deliverables
• Assist in quality assurance audits.
• Assist in developing policies and procedures for the department
• Maintain department calendar and schedule
• Prepares and collects regular activity reports, program tracking and monitoring Develops and implements procedures to ensure tasks are complete efficiently to achieve desired results
• Collaborates with other departments and responds professionally to internal and external requests
• Communicates Director’s instructions to various individuals and/or departments and furnishes or obtains information from other department Directors and Managers
• Receives and screens telephone calls, letters and/or visitors
• Schedules meetings and appointments to keep track of availability and time commitments on a daily/weekly basis
• Maintains physical and electronic records to store accurate documentation of office/program activities
• Prepares presentations by gathering and summarizing data often using graphics and spreadsheets
• Perform other administrative duties, including ordering supplies and collecting payroll
• Other duties, as assigned  
 
EDUCATION AND EXPERIENCE REQUIREMENTS:
  • Academic Level: Bachelors
  • Industry Experience: Other industries not listed
 
ADDITIONAL REQUIREMENTS:
This position requires a Bachelor’s degree in the areas of Business Administration, Public Policy, Public Administration, Urban Planning, or related discipline or the equivalent combination of education and experience. Minimum of five (5) years of office administration experience. 

This position requires effective communication skills, both verbal and written. Proficiency in Microsoft Office Suite (Excel, PowerPoint and Microsoft Word required), proficiency with SharePoint application platform is a plus. Bilingual skills in any of the City of Chicago’s top five languages (Spanish, Polish, Chinese, Arabic and/or Hindi) preferable.

The minimum salary for this position is $43,469.60
