Under general direction, manages all aspects of non-technical (not information technology or construction related) projects and provides a single point of contact for those projects. Takes projects from original concept through completion. Develops detailed work plans, schedules, project estimates, resource plans, and status reports. Assembles a project team, assigns individual responsibilities, identifies appropriate resources needed, and develops schedules to ensure timely completion of projects. Conducts project meetings and is responsible for project tracking and analysis. Ensures adherence to quality standards and reviews project deliverables. Manages the integration of vendor tasks and tracks and reviews vendor deliverables. Provides analytical guidance to a project team. Recommends and takes action to direct the analysis and solutions of problems.

About the Unit

The Urban Education Institute is dedicated to producing knowledge to create reliably excellent schooling nationwide. UEI accomplishes this through applied research designed to improve school practice and education policy; the operation of a charter school with four campuses serving children from across the South Side; preparing and supporting new teachers for Chicago; establishing robust partnerships with organizations and school systems across the city and nation; and the dissemination of tools and training designed to improve urban schooling nationwide.

Unit Job Summary

The Birth to College Project Director and Advancement Assistant:

The University of Chicago Urban Education Institute (UEI) is engaged in an effort to build a model of public education for children that begins at birth and leads to success in school, college, and life. In this endeavor, UEI collaborates with the Ounce of Prevention Fund (Ounce) and other early childhood providers across the city of Chicago to develop a seamless partnership for children and families from birth to college.

The UEI Birth to College Project Director will lead UEI's effort to build a model of exemplary schooling from early childhood to college. Will coordinate the partnership on the ground, ensure a strong working relationship with the Ounce of Prevention and other key partners and will help develop citywide and national visibility for the work underway. Will report to the Director of the UChicago Charter School.

Responsibilities include:
Project Oversight:
Track and oversee all aspects of the Birth to College Partnership

Develop and support partnership with Ounce of Prevention and other key partners

Support the development of tools and case studies that can be used by the birth to college partners and by other providers nationwide overtime

Maintain relationship with funders of the Birth to College Partnership, providing updates, leading site visits, creating reports

Conceptualize and execute public engagement strategy with local and national partners

The advancement assistant is part of a three-person team, and provides administrative and logistical support to the chief advancement officer and associate director of advancement.

Responsibilities include:
Data Management:
Manages and maintains the development database Griffin

Produces reports and runs queries

Manages and maintains prospect records by updating donor records, entering call reports, overseeing solicitation process

Tracks event attendance

Gift and Prospect Management:
Prepares and processes acknowledgements for gifts according to giving levels

Manage stewardship reports

Monitors bi-weekly gift reports

Works with UEI's administration office and ARD's Gift and Records Services office to manage gifts accounts

Partners with University of Chicago Alumni Relations and Development to maintain UEI suspect and prospect records

Auxiliary Groups:
Provide support services for UChicago Charter School Governing Board, UEI Volunteer Committee and UEI Advancement Committee

Proactively manages these auxiliary groups by crafting meeting notices, tracking RSVPs, making follow up phone calls and scheduling meetings

Conducts regular updates of contact, employment and biographical information for auxiliary groups

Communications:
Support management of the monthly e-newsletter and annual appeal

Reviews and edits foundation, corporate and individual proposals

Partners with UEI's Communications Director to maintain and create advancement communications pieces

Drafts and updates acknowledgement letters on a quarterly basis

Special Events:
Assists with the planning and execution of special events

Works with appropriate partners to produce invitation lists and manages RSVPs

Manages registration check-in and then enters attendance into Griffin

Research and Proposals:
Researches prospective donors - individuals, corporations and foundations

Updates records in Griffin with research findings

Flags prospects for specific funding proposals

Assists with proposal submission

Maintains proposal library

Finances and Budget:
Tracks budget by using University systems, eLedger and Active Planner

Produces budget reports on a monthly basis

Reconciles expenses through the University's GEMS system

General Administrative Support

Education

Bachelor's degree required.

Experience

Previous related experience required.

Experience with developmental database required.

Experience tracking budgets by using University systems, eLedger and Active Planner preferred.

Experience producing budget reports on a monthly basis preferred.

Experience reconciling expenses through the University's GEMS system preferred.

Experience managing special events preferred.

Competencies
