Development Associate, Alliance for the Great Lakes - Hybrid

 

Summary

The Development Associate (Associate) supports the Alliance for the Great Lakes’ Advancement Team in fundraising, primarily through gift and data entry, producing acknowledgment letters, and preparing correspondence. They also provide general administrative support related to individual and institutional donors/prospects and may work directly with individual and institutional donors in an administrative capacity. The Associate will work to fulfill our objective of operational excellence in donor stewardship as described in the organization’s strategic plan.

Representative goals of this position include:

  • Amending and/or creating new donor data entry processes, responsive reporting systems (for internal team and board), and improving data fidelity and reliability.
  • Executing gift entry, acknowledgment, donor flagging (identifying notable information as defined by the development team) to relevant staff), list development and maintenance,  administrative tasks and processes, among other duties as assigned.
  • Learning and understanding the Alliance’s giving programs, yearly donor cycle, and using that information to drive process improvements.
  • Improving administrative capacity, allowing for proactive department growth (both in terms of gifts and gift amount and internal team expansion) that will align with the Alliance’s emergent plan.

Responsibilities

  • Implement gift processing, including accurate and timely gift entry and printed acknowledgments
  • Collaborate with the Data Manager on the development of standard operating procedures for Salesforce. Work with the Data Manager to generate internal reports.
  • Help ensure the integrity of data in the fundraising database (Salesforce) through accurate data entry and correction of errors and merging of duplicate records
  • Revamp the existing acknowledgment processes to be more efficient and strategic in supporting donor stewardship
  • Maintain a library of acknowledgment letters, updated annually or as needed to create meaningful and specific recognition of donors
  • Evaluate and update departmental reporting in close consultation with the Operations Team to ensure Salesforce records are reconcilable to our accounting records
  • Support fundraising events by tracking guest registrations and gifts, preparing attendee lists, and day/night of administrative support
  • Be alert to donor trends or variations in giving (upgrading, downgrading, recaptured) and alert the Development Team
  • Manage bulk mailing processes, working closely with vendors to ensure accurate and timely delivery. Create mailing data files for print vendors.
  • Manage and maintain the Development Team calendar for internal meetings/timelines, and ensuring that timely information is shared with the right people.
  • Additional administrative support as required (ex: research, purchases, vendor management)

As assigned or needed, for example, administrative support on research, purchases, vendor management, etc.

Knowledge/Skills

  • At least three (3) years experience in data entry, correspondence, and usage of customer/client database (Salesforce preferred). Requisite experience in gift entry/processing, gift acknowledgment, large mail campaigns, and process management
  • Rigorous attention to detail with minimal errors when entering donor data
  • Solid interpersonal skills in working with an internal team that has a clear delineation of responsibilities along the path of effective donor stewardship
  • Exceptional organizational and time management skills with a proven ability to prioritize tasks and meet deadlines. Strong problem-solving and critical thinking abilities.
  • Demonstrated ability to work both independently and collaboratively as part of a team with a positive, solution-focused, can-do attitude
  • Ability to communicate both verbally and in writing with diplomacy and tact to donors based on donor needs. Strong listening, written, and verbal communication skills.
  • Independent worker capable of making decisions on their own; can-do-attitude, self-motivated, resourceful, and flexible
  • Three (3) years of experience with essential administrative support to an organizational team, including scheduling meetings, managing calendars, and preparing correspondence. Contribute to a smooth-running team operation.
  • Proficient in Microsoft Office products, particularly Word, Excel, and Outlook

Job Parameters

  • This position is full-time and consistent with Alliance employment policy. The Alliance has defined salary ranges that are evaluated annually, and it is customary for candidates to join at the lower half of the range to leave room for learning and development in the role. It is uncommon for starting salaries to fall above the mid-point. The salary range for this position begins at $50,000, and we negotiate salaries with final candidates based on their experience in similar roles and expertise related to the qualifications.
  • Excellent benefits, including medical, dental, short- and long-term disability, life insurance, FSA, 11 paid holidays plus the business days between 12/26 and 12/30 (staff who must work on any paid holidays may take those holidays at another time subject to the employee handbook), 3 weeks’ annual vacation to start + PTO, and Fidelity 401(k) with employer match of up to 6% of salary, eligible after 30 days.
  • This is a hybrid position for candidates living in the Greater Chicago area. The Development Associate is expected to be in the office at least 1x day per week, with seasonal variation (ex, end of year-giving) requiring more frequent in-office time. Occasional evening or weekend hours may be required.

Job Summary:

The Development Associate/Partner Engagement will play a vital role in expanding Urban Warriors' reach and ensuring the sustainability of our programs. This position focuses on fundraising, donor relations, and community outreach, working closely with the Executive Director to develop and implement strategies that support the organization’s mission. The coordinator will be responsible for cultivating relationships with donors, partners, and community stakeholders, while also leading initiatives that promote Urban Warriors’ visibility and impact in the community.

Key Responsibilities:
  •   Fundraising: Assist in the creation and execution of fundraising plans, including annual appeals, special events, and online campaigns. Identify and research potential donors and funding opportunities.
  •   Donor Relations: Manage and grow the organization’s donor base. Cultivate and steward relationships with individual donors, foundations, and corporate sponsors. Prepare and distribute donor communications, including thank you letters and impact reports.
  •   Grant Writing: Collaborate with the Executive Director and program sta􏰀 to identify grant opportunities. Write and submit compelling grant proposals (2 per quarter), ensuring alignment with funder priorities. Track and report on grant outcomes.
  •   Community Outreach: Develop and implement community engagement strategies to increase awareness of Urban Warriors’ programs. Represent the organization at community events, meetings, and in partnerships with local organizations.
  •   Event Planning: Coordinate and execute fundraising and community events, such as the Drive the Future golf outing and the Community in Conversation series. Manage event logistics, from planning through execution and follow-up.
  •   Public Relations: Work with media outlets and partners to promote Urban Warriors’ programs and successes. Prepare press releases, manage social media content, and contribute to the organization’s overall communication strategy.
  •   Volunteer Management: Recruit, train, and manage volunteers for events and programs. Develop a volunteer engagement plan that fosters long-term involvement.
  •   Extracurricular Knowledge: Basic understanding of the e􏰀ect that Sport, Culture & Arts, and Civic engagement programs have on young people.

    Qualifications:
  •   Education: Bachelor’s degree in nonprofit management, communications,

    Economics or a related field is highly preferred but not required.
  •   Experience: At least 3 years of experience in fundraising, community relations, or a similar role within a nonprofit organization. Experience with grant writing and event planning is highly desirable.
  •   Skills: Strong communication, interpersonal, and organizational skills. Ability to work independently and as part of a team. Proficiency in donor management software and social media platforms.
  •   Commitment: A passion for Urban Warriors' mission and a deep understanding of the community's needs.

    Other:
  •   Strong understanding of fundraising principles, donor engagement strategies.
  •   Demonstrated experience in managing and leading fundraising teams, fostering

    collaboration and achieving results.
  •   Proficiency in using donor management software and other fundraising tools
  •   Knowledge and understanding of cultural and socioeconomic dynamics present in

    the Little Village Community and greater City of Chicago.

    Compensation:

    The base salary ranges from $70,000 to $80,000, depending on experience. Additionally, a bonus structure is in place that offers opportunities to earn more based on performance. Benefits include health insurance, paid time off, and professional development opportunities effective January 2025. (Proven track record of successfully securing 5-7 figure major gifts from individuals, corporations, and/or foundations will determine base salary.)

Since 1975, the Illinois Environmental Council has worked to safeguard Illinois—its people, its plants and animals, and the natural systems on which all life depends by building power for people and the environment. About the Position

The Illinois Environmental Council Education Fund (IECEF) is looking for a self-motivated and experienced individual for the role of Development Associate. The associate will craft and execute a comprehensive fundraising strategy to ensure we have the resources to achieve our mission and vision.

This position may be located in Chicago or Springfield, IL. The position is full-time and may include evening and weekend work, and occasional travel within Illinois.

Responsibilities

·        Coordinate with Development Director to plan and execute IEC’s development plan

·        Provide integral support for IEC’s largest fundraiser, the Environmental Leadership Dinner, taking place each fall including event management, sponsorship solicitation, and supervision of silent auction and other fundraising activities during the event

·        Provide support and oversight of other fundraising events

·        Research, tracking, and preparing reports on prospective donors including individuals, foundations and corporations

·        Management of donor database and reporting functions

·        Coordination of board development activities such as fundraising committee meetings and annual commitment tracking

·        Creation and delivery of donor recognition, stewardship, and solicitation materials

Job Overview As a growing organization of 4 FTE and 3 PTE, we are looking for a development associate who can support our individual giving and grant portfolio. This position reports directly to the executive director who leads the development program. The development associate will support the development work through grant writing, research & data analysis, and fundraiser program support. GENERAL SUMMARY OF DUTIES: Analyze the profitability of potential deals, work with third-party consultants to coordinate the due diligence and design process, and gathers and analyzes relevant market data. Manage the creation of financial analysis, modeling, and support for the Company’s new business development activities in the real estate industry. Coordinate with the development director and construction management staff in the management of developments in the pre-construction, construction and close-out stages as required. This may include assisting with aspects of the construction project such as design, budgeting, operations, approval processes and public relations.

SUPERVISION EXERCISED: The Development Associate will co-supervise any staff that is required to support ongoing development activities. This may include accounting staff, interns, construction support staff or analysts.
ESSENTIAL FUNCTIONS: Investigate potential apartment sites in selected markets and commence negotiations for those sites deemed appropriate by the development team. Analyze the financial feasibility of such proposed projects by gathering and reviewing proformas and construction costs and relevant market data to create the appropriate product design and instigate the entitlement process as required by local jurisdiction. Oversee third-party consultants involved in the due diligence process during the design and development stages of the project by providing specific direction to produce a design that maximizes the economic benefit of the developed property. Assist members of the development team to guide the due diligence process in the acquisition of land for development including pursuit of appropriate entitlement to allow for the construction of the desired product. Coordinate and assist in managing budgets and reporting on progress during the pre-construction and construction stages in conjunction with the appropriate construction project manager. Coordinate with the operations team to ensure construction schedule complements lease-up timeframes and requirements. Prepare and distribute periodic development reports including monthly Job Cost Reports to senior members of the team. The Development Associate (Analyst) in the Office of Transit Oriented Development (TOD) will serve as the Metropolitan Council’s lead TOD data and financial analyst, including analyzing project feasibility, evaluating potential developments, participating in TOD project development, and managing TOD project databases, etc. To this end, the Development Analyst will need to have appropriate financial expertise, knowledge of real estate development, and technical expertise. The Development Analyst will also support the Director in establishing protocols for improving the TOD Office’s efficiency, effectiveness and transparency.
EXAMPLES OF DUTIES Major responsibilities include: 
Performs real estate research and analysis 
  • Develops appropriate pro formas for project evaluation 
  • Maintains database of local real estate market factors Provides real estate expertise for TOD projects 
  • Participates in TOD project development 
  • Works with other TOD Office staff on TOD projects, programs, and outreach Tracks TOD projects in the region 
  • Manages appropriate TOD project tracking data and analysis 
  • Coordinates with other Met Council offices 
  • Coordinates with partner governments within the region Acts as resource person for local government partners 
  • Provides advice on real estate financial tools & models 
  • Stays current on partner agency real estate tools 
  • Acts as primary TOD Office liaison to regional real estate development community
QUALIFICATIONS Education and Experience Requirements: 
  • Bachelor’s degree (BA/BS) from a four-year college or university in real estate finance, business, economics, geography, planning, or related field 
  • At least four (4) years of related experience in real estate analysis such as building real estate pro formas, tracking real estate development projects, and evaluating project financial feasibility.
Equivalency: A master's degree in business administration with real estate specialization can substitute for 2 years of experience. Knowledge, Skills and Abilities 
  • Knowledge of real estate financial analysis, real estate data and analytic tools 
  • Knowledge of real estate development process 
  • Knowledge of financing structures of real estate transactions 
  • Spreadsheet skills, especially with financial functions 
  • Ability to work on a team under deadline pressure 
  • Skilled in presenting research results to non-technical audiences 
  • Ability to organize TOD project data for use by non-technical partners 
  • Ability to understand and explain the critical factors in a potential real estate project

Work Environment: Work is performed in a standard office setting. 
Physical Requirements: Regularly required to sit for long periods, stand/walk occasionally, speak, hear normal conversation and telephone ring tones, operate a computer and other office equipment, reach with hands/arms frequently below chest height and occasionally overhead, must occasionally lift/carry/push/pull up to 10 pounds, must have adequate close vision for reading and computer work.
Selection Process:
