PRIMARY POSITION FUNCTION/SUMMARY:
To administer, coordinate, market and provide student support for Grainger College of Engineering programs in Chicago. This position works closely with several units within The Grainger College of Engineering at the University of Illinois Urbana-Champaign (GCOE), as well as civic and business organizations in the Chicagoland area.
MAJOR DUTIES AND RESPONSIBILITIES:
Program Management
- Coordinate all aspects of daily operations for GCOE programs including Engineering City Scholars and related events for students, faculty and corporate partners.
- Serve as main point of contact for all prospective students and participating students in GCOE Chicago programs.
- Plan, coordinate and execute events and activities for the Engineering City Scholars program and additional Grainger activities in Chicago such as orientation, extracurricular activities, networking events and other programming activities to enrich the student experience while in Chicago.
- Oversee preparation for GCOE classes in Chicago including coordinating with faculty.
- Facilitate the recruitment and placement of all prospective students into the Engineering City Scholars program and additional Chicago programs as needed. This includes coordinating with the affiliated academic departments to ensure all admission requirements are met as well as sending admission notifications and other related materials to students.
- Coordinate all student services activities for participating GCOE students with Urbana-Champaign campus units including enrollment, student housing matters, addressing related questions and issues, etc.
- Oversee the maintenance of accurate student records. Maintain up-to-date written guidelines outlining procedures to be used: application and qualification process, course/work schedules, outline expectations/requirements for students, employers, advisers, and administrators. Maintain critical communications with supporting departments, i.e., financial aid.
- Conduct program assessment and follow-up studies. Prepare for and participate in debriefing of activities and events with staff to evaluate goals and effectiveness and identify issues and implement change.
- Communicate with key Urbana-Champaign campus stakeholders such as registrar, financial aid, student insurance, and other student-focused operations to ensure processes and procedures are up to date.
- Work outside of typical hours as required for special events, including nights and occasional weekends.
- Create and execute a marketing plan to include social media (Facebook, Twitter, LinkedIn, Instagram) and promotional materials (print materials, digital messages and news releases).
- Collaborate with other departments/student services to effectively market and promote Grainger programs in Chicago to target audiences, including the technology community, GCOE faculty liaisons, student organizations, and targeted student populations, as well as business and civic organizations in the Chicago area.
- Liaise with Grainger Engineering marketing and communications team to oversee the production of marketing materials related to Chicago programs including brochures, website, handouts, posters and other printed and digital materials as needed.
- Assist Director in managing relationships with corporate and civic partners, alumni, and outside vendors by attending meetings and events as needed, and assist in expanding relations with recruiters, GCOE alumni, faculty, and University administrators in support of Engineering City Scholars and other college-wide programs as directed.
- Work with corporate partners/students to address performance or other related issues regarding student internships.
- Liaise with the GCOE offices/staff for Marketing and Communications, Corporate Relations, Alumni Relations, Advancement, Engineering Career Services, Engineering Administration and academic departments as necessary.
Required:
- Bachelor’s degree
- A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position.
- Demonstrated professional work experience in corporate relations, marketing, student career services/affairs, corporate recruiting, or related area.
- Demonstrated experience working with social media (Facebook, Twitter, LinkedIn, Instagram).
- Demonstrated experience with information technology including use of the Internet and familiarity with various word-processing, database, spreadsheet, and presentation programs.
- Three years of professional work experience in corporate relations, marketing, student career services/affairs, corporate recruiting, or related area.
- Three or more years of related experience within a large public university setting.
- Familiarity with engineering, technology and/ or entrepreneurship disciplines or corporate relations in these areas.
- High degree of professionalism and comfort interacting with all levels of corporate representatives.
- Effective communication skills including excellent oral, written and interpersonal communication skills.
- Ability to plan, implement, manage, and evaluate programs/events and projects as well as handle multiple work priorities.
- Possess excellent customer service and public relations skills, and an ability to work effectively in a team environment.
This is a full-time Civil Service Program Coordinator position appointed on a [12]-month service basis. The expected start date is as soon as possible after the close of the search. Salary will be commensurate with experience.
