Constituent Services Coordinator - 40th Ward Office Chicago

Title: Constituent Services Coordinator 

Description: The part time Constituent Services Coordinator works with the constituent services team to address a wide range of resident needs. They respond to concerns including city issues and quality of life matters; identifying potential solutions; and serving as a proactive advocate for residents. In addition, they will also manage the 40th Ward’s communications. Bilingual candidates (specifically Spanish speaking) are highly desired.

Responsibilities:

  • Report directly to the Chief of Staff and supervise department volunteers and interns as applicable.
  • Work with 40th Ward team to address and resolve incoming phone, email, and walk-in constituent service requests.
  • Develop reports to track Constituent Services Requests (CSRs) while overseeing and managing Airtable data.
  • Perform 40th Ward surveys, spending time “in the field” to assess reported issues and to monitor current projects and conditions.
  • Manage communications funnel including social media, website and weekly newsletter.
  • Participate in projects such as event set up, requiring the ability to lift items weighing 20 lbs.
  • Perform other duties as assigned.

Minimum Qualifications:

  • Resident of Chicago, IL.
  • Very strong interpersonal and verbal communication skills.
  • Able to hold conversations on sensitive, critical matters while being empathetic, respectful, and honest.
  • Resourceful, responsive, and service-minded. Willing to go the extra mile and seek creative solutions.
  • Ability to work some evenings and weekends; maintain a flexible schedule for community meetings.

Desired Knowledge, Skills, and Attributes:

  • Communications skills – writing, social media, website, press releases, etc.
  • Experience in using AirTable and/or Salesforce
  • Knowledge of the 40th Ward
  • Bilingual (Spanish preferred)

Compensation:

  • Position is part-time, 28 hours per week
  • $25 per hour

Both embedded in Chicago social justice traditions and dedicated to advance design justice practices, Design Trust Chicago envisions collaborating with residents, nonprofits, and local government to explore design possibilities that center community experiences, and develop projects while redirecting resources equitably across Chicago.

We are hiring an Operations Manager!

Design Trust Chicago is seeking a community focused, diligent, collaborative, and results oriented Operations Manager. The Operations Manager will work closely with senior leadership in the implementation of the organization’s strategic plan while overseeing day to day operations.

What you’ll do

  •  Organizational Development
    • Program management (design services program, volunteers, -- applications, database, follow up)
    • Coordination of public programming, convenings and events including scheduling, logistics, and development of outreach materials.
    • Research and identification of funding opportunities
  • Internal Administration
    • Budget management and reporting
    • Organize, manage, or review organizational assets and documentation (bylaws, visuals, photos, narratives, administrative, etc.)
    • Coordination and administration of services of external consultant engagement for grant writing, strategic planning, communications, legal counsel, and other supporting professional services
    • Board management and documentation including materials, board meeting coordination and sub-committee management
  • Outreach and Partnerships
    • Active stakeholder engagement and organizational partnership building
    • Development of written program outreach materials, including press releases, website content, and materials for grants and other communications, as required

What you’ll need  

  • Required
    • Bachelor’s degree or equivalent experience
    • Exceptional verbal and written communication skills
    • Three to five years of experience in project management, office administration or related capacities
    • Proficiency with scheduling and coordinating in-person and online meetings
    • Comfortable in coordinating input from various organizations for public/private collaboration, including multi-disciplinary project efforts working with allied professionals such as architects, civil engineers, and developer
    • Strong organizational and collaboration skills
    • Proficient in MS Office and Google Workspace
  • Preferred
    • Experience interacting, building relationships and managing communications with stakeholders (e.g. board members, partner organizations).
    • Experience and interest in web design, creating landing pages, registrations for events, and more (i.e. WordPress, Wix, Eventbrite)
    • Experience with email marketing and newsletter tools (i.e. Mailchimp)
    • Experience within or adjacent to community design (architecture, landscape architecture or urban design).

Employee is responsible for preparing recommendations for the County Executive and County Council in assigned areas on operating and capital budget resource allocation, fiscal policy and related matters.

Duties include: Reviewing Operating Budget/Capital Improvement Program (CIP) requests of assigned County departments and agencies; conducting management analyses, program evaluations, and analysis of issues; developing performance measures and other action for the County Executive to approve; administering and monitoring approved Operating and Capital budgets; preparing position papers, and answering requests from the public, orally or in writing, on issues related to the County's budgets. Employee performs other related duties as required.

Subject areas to which specialists may be assigned include, but are not limited to: public safety, transportation, human services, housing, education, environmental affairs, leisure services, general government, compensation analysis, budget systems development, process/production work, performance based budgeting, and collective bargaining negotiations. Work covers both operating and capital budgets and may include tasks covering the spectrum from program and fiscal planning through evaluation. Specialists work in standing and ad hoc teams both within the Office of Management and Budget (OMB) and with program departments. Responsibilities may include making presentations to the County Executive and County Council.

Minimum Qualifications
Experience: Three (3) years professional experience reviewing, analyzing and monitoring operating and/or capital budgets, including analysis of and reporting on management and programmatic issues having budgetary implications.

Education: Graduation from an accredited college or university with a Bachelor's Degree.

Equivalency: An equivalent combination of education and experience may be substituted.

If the position is filled at the MBS II level, a Bachelor's Degree and only 2 years experience is required.

If the position is filled at the MBS I level, a Bachelor's Degree and only 1 year experience is required.
