Description:
Manages all aspects of the Occupational Therapy Doctorate (OTD) program,
including student recruitment, application processing, student advising,
enrollment management, program evaluation, and administrative organization
and communication. Works closely with the Director of Graduate Studies to
successfully implement the degree program. Also coordinates research
development resources for faculty, including arranging consultants and
conferences.
Duties
. Support research and scholarship: Plan and implement research
related events such as mini-conferences, training sessions, visiting
scholars, and institutes. Conduct needs assessment of the faculty regarding
research resources and events that will be of assistance for research
development. Develop and implement marketing plan for research conferences
to showcase the work of UIC faculty.
. Program Management: Oversee logistics of OTD program and students,
including registration, forms, scheduling classes, graduation requirements,
record management, data reporting for college and campus, scholarships and
awards, file management. Work with OTD students to field questions about OTD
and university policies and procedures and to troubleshoot any difficulties.
Assist faculty with reporting grades, including coordination of any grade
change filings, and final reporting of field exam and OTD project grades.
Create and employ a database for student records and progress. Access OTD
student files to report any missing grades or grade changes to faculty and
university. Determines progress toward degree completion. File any OTD
student and faculty petitions regarding OTD completion. Update and revise
the OTD Handbook (paper and electronic) and disseminate to students and
faculty. Coordinate with DGS and OTD students the archiving of all OTD
projects within the OT library (paper and electronic versions), and posting
of all OTD project summaries (abstract and voice recorded PowerPoint
summaries) to OTD website. Arrange and attend periodic meetings with DGS and
respond to DGS requests for information. Coordinate with College committees
and staff for all OTD-related functions, including orientation and
graduation.
. Admissions: Coordinate OTD admissions policies and procedures,
including counseling students before, during and after application on
admission policy and requirements, record management and transfer,
application deadlines, and application outcomes. Update admissions website
materials with any new forms or policies. Evaluate and process all
applications, coordinate file review with admissions committee, enter
decisions in online system.
. Student Advising: Primary resource and consultant for students
regarding their progress in the OTD program and completion of all
requirements. Refers students to campus and college resources as well as
connects with external resources on housing and community services. Provides
information on scholarships and financial resources.
. Course & Program Evaluation: Coordinate and attend course
evaluations for all OTD elective courses, including preparing evaluations
and updating as indicated by faculty, distributing course evaluations to
students, summarizing purpose of course evaluations to students before
completing, gather course evaluations from students, send quantitative data
to university for analyses, and summarize qualitative data electronically
for faculty. Coordinate OTD program evaluation committee work by scheduling
and attending program evaluation meetings, distributing OTD summary program
evaluations to graduating students, summarizing results of OTD program
evaluation to committee and faculty. Coordinate filing of all OTD field
exams and project outcomes. Summarize results for DGS to report in TK20
online system. Distribute findings to faculty each semester.
. Student Recruitment: Develop student recruitment plan, plan and
implement student recruitment events in collaboration with Occupational
Therapy Doctorate (OTD) Director of Graduate Studies (DGS), advertise
sessions widely to community, reserve rooms, and prepare needed handouts and
audiovisual for presentations. Present information on the application
process and field questions. Develop marketing materials including
brochures, website, testimonials, and ad copy. Host visits of prospective
students. Contribute to social media content.

Qualifications
Minimum Qualifications:
. Bachelor's Degree
Preferred Qualifications:
. Master's degree strongly preferred.
. Two years work experience in academic setting, management,
marketing, or research role.
. Strong business knowledge and skills, along with presentation,
interpersonal, communication, and analytical skills.
. Project management skills, High level of proficiency with
PowerPoint, Excel and Word. Able to set up and manage a database of student
records.
. Ability to handle a large volume of work with varying deadlines,
manage multiple projects simultaneously, set priorities and meet deadlines.
Ability to communicate clearly and confidently with prospective and current
students, visitors, and external audiences.
