Business Administrative Associate, Academic Computing and Communications Center - UIC

Who: The Academic Computing and Communications Center is an agile organization, with a collaborative and team centered environment that provides IT leadership, academic technology infrastructure and services at University of Illinois at Chicago.

What: Business Administrative Associate (CIO, Chief of Staff). This position will help identify, track, and follow-up with constituents on requests and projects as needed. Help identify communications and documentation gaps and work with stakeholders to remediate. Work with the CIO and track regular and scheduled to-do items and projects. Identify necessary staff communications. Organize staff and coordinate campus events and meetings, including agenda items, presentation materials, content, and logistics. Prepare materials for meetings for the CIO. Take ownership of issues brought to the CIO and work with ACCC directors and others to follow-up on and track those issues or projects. Manage and work on special projects with internal and external partners, such as the strategic plan, annual reports, etc. Review, prioritize, and delegate or respond to communications received by the CIO. Draft announcements, speeches, documents, and presentations for the Provost/Chancellor/IT Governance/Deans/Committees and other campus units or external entities. Participate and assist ACCC Directors in the development and implementation of Policies. Represent the CIO in meetings and projects as assigned. Manage the CIO’s website. Key responsibilities include:
  • 5%  Participate and assist in the development and implementation of ACCC policies to ensure uniformity in unit operations. 
  • 15%  Monitor major ACCC projects and report on status. 
  • 10% At the direction of the CIO, conduct in-depth analyses of operations and programs, issue reports, and make recommendations 
  • 10%  Review incoming documents requiring the CIO’s review and approval. Interact with offices submitting documents to negotiate changes, and engage functional experts in human resources, budget, public relations, and others as needed. Monitor incoming communications; distribute and delegate information and time sensitive items to ACCC directors or other staff. 
  • 15%  Lead analysis, deliver insights, provide actionable recommendations, and foster innovation across a wide range of strategic initiatives and business problems. Meet regularly with university clients to identify and understand service and coordination issues. Participate in the development of remedial actions to improve collaboration and IT relationships. 
  • 10%  Utilize extensive knowledge of ACCC and CIO operations to act as liaison university and system level units in the facilitation of inter- and intra- departmental planning activities on behalf of the ACCC and CIO leadership teams. Participate in and promote the UIC IT Strategy and IT Community. 
  • 10%  Review and analyze inquiries, comments, suggestions, or complaints on behalf of the CIO and engage appropriate ACCC areas or staff as needed. 
  • 10%  Draft speeches, correspondence, presentations, and public announcements for the CIO; determine, obtain, and review necessary source materials; and consult with internal and external advisors regarding tone and messaging. Make recommendations and maintain the CIO blog/website so that it is a resource for the university and promotes IT initiatives and resources. 
  • 10%  Brief CIO, CIO’s assistant, Directors and other staff on issues and involve others selectively as needed. Ensure deadlines are met and require timely follow through by areas reporting to CIO as needed. Assist the CIO on projects, which may require a high degree of confidentiality. 
  • 5%  Perform other related duties and participate in special projects as assigned 


Qualifications:

  • Bachelor's degree in business administration, management or a field related to the position 
  • Two years of professional level accounting, managerial and/or business experience, one year of which was at an administrative level 
  • Demonstrated knowledge of IT platforms and experience supporting IT operations within higher education institution 
  • Demonstrated knowledge and experience with productivity, data analysis/reporting, survey tools, and web content management software 

Preferred Qualifications:

  • Bachelor’s degree in business administration, Science Technology Engineer Math (STEM), management, or a field related to the position 
  • Four years of professional, managerial and/or business experience, two years of which was at a high administrative level. 
  • Work experience acquired in a higher education institution 
  • At least three years of experience in progressively responsible positions in higher education IT project management 
  • Experience with productivity, data analysis, survey tools, and web content management software
