About the OrganizationThe South Side Healthy Community Organization (SSHCO) is non-profit organization built as a collaborative of 13 healthcare organizations - safety net hospitals, health systems and Federally Qualified Health Centers - on the South Side of Chicago. Supported by generous state funding, the SSHCO aims to build a healthcare system that will prioritize community needs, intervene earlier, and respond better. Our model, driven by community input, will better connect existing health organizations, increase access to care, address some of the most challenging health issues we face, and ultimately, build health equity and ensure stronger, healthier communities across the South Side of Chicago.

Description

The Program Coordinator plays a crucial role in supporting the organization’s administrative functions and project management initiatives. This position requires a highly organized individual who excels in communication, meeting management, and documentation processes. Key responsibilities include coordinating meetings and events, maintaining training and meeting materials, and assisting in the development of project protocols. The individual will also manage staff documentation and ensure effective inventory management. By maintaining efficient workflows and fostering collaboration among team members, the Program Coordinator contributes to the achievement of the organization's strategic goals while modeling SSHCO’s mission and values.

ESSENTIAL JOB FUNCTIONS:

  • Effective Communication: Maintain effective written and verbal communication with staff and others through appropriate and considerate interactions. Model SSHCO’s mission, vision, and values while ensuring discretion and confidentiality.
  • Administrative Support: Perform basic administrative duties such as photocopying, electronic mailing, sending mail, faxing, tracking, and securely storing equipment. Submit check requests or purchase orders and organize and maintain program records (both physical and electronic files).
  • Meeting Management: Schedule and organize meetings and events for assigned projects, including sending agendas, taking meeting minutes, and tracking action items.
  • Project Protocols: Assist in developing protocols and guidelines for assigned projects, ensuring clear communication of any new or changed procedures to project staff.
  • Documentation Creation and Management: Create reports, presentations, tables, graphs, and other documentation as needed to support project goals. Management and printing of training materials.
  • Project Support: Support other projects related to the strategic goals and administration of assigned initiatives.
  • Onboarding Collaboration: Collaborate with supervisors to onboard new staff, ensuring secured office space and the provision of necessary equipment, technology, and supplies.
  • Inventory Management: Monitor office supply inventory, order supplies as needed, and manage the outreach calendar to coordinate schedules and events effectively.
  • Additional Duties: Perform other duties as requested.

TRAVEL:

  • Occassional local travel to healthcare organizations – safety net hospitals, health systems and Federally Qualified Health Centers — on the South Side of Chicago may be required.

QUALIFICATIONS:

  • Bachelor’s degree or equivalent REQUIRED.
  • At least one year of professional experience in public health, social service, customer service, administration, or healthcare industry REQUIRED.
  • Ability to improvise, problem solve and adapt in any situation.
  • Ability to work on a team with multiple projects within tight time constraints.
  • Excellent interpersonal skills, including the ability to resolve conflict.
  • Strong verbal and written presentation and communication skills with all levels of employees internally and externally.
  • High level of integrity.
  • Demonstrated commitment to racial and health equity.
  • Strong computer skills including proficiency in Microsoft Excel.
  • Strong organizational, oversight, and problem-solving skills.
