Key Responsibilities/Duties:
Operations
1. Coordinate with the Associate Director the daily general operations of the GCPC in all aspects of administration and resource management.
2. Coordinate the collection, management and analysis of Center data to track space and personnel time.
3. Oversee and coordinate all facilities management requests/issues.
4. Update website; write annual report as well as any other informational or promotional materials.
Financial Management
1. Develop and monitor both annual and project-based budgets; tracks revenues, expenditures, billing, personnel expenses and facilities overhead. Create budget reports and other financial reports as needed using Banner, EDS, EDDIE, Information Warehouse and other analytic tools.
2. Plan and prepares annual GCPC budget, which includes creation and explanation of the CPC annual financial report; work with the DME Director of Administrative Operations, GCPC Director and the Associate Director to submit the final budget for approval.
3. Oversee all purchases and facilities expenditures including equipment and workspace installations and repairs.
4. Support research and grant efforts by coordinating grant funds, ensuring compliance with grant guidelines, and providing accounting and other reports. Create bids for outside projects including costing, person-hours and equipment needs.
Human Resources
1. Oversee HR processing and reporting (timesheets, leaves, searches, reappointments, etc.). Ensure the accuracy and timely delivery of the HR materials.
2. Identify staffing needs and prepare job descriptions.
3. Oversee and manage payroll transactions; budget and track paid hours for part-time Standardized Patients.
4. Provide expertise and general counsel to the Associate Director, Director and staff on issues of university business, HR, facilities and strategic planning policy and procedures.
5. Perform other related duties and participate in special projects as assigned.
6. Plan, assign and review work of staff to ensure that group objectives are met. Hire, train, develop and manage staff to ensure that a qualified staff exists to meet group objectives.
Minimum Qualifications
1. Bachelor's degree in business administration, management or a field related to the position
2. Two years of professional level accounting, managerial and/or business experience, one year of which was at an administrative level
3. Additional education, training and/or work experience in the area of specialization inherent to the position may be required
Preferred Qualifications
1. Extensive knowledge of UIC and state policies and procedures as pertains to budgeting, purchasing, grants, contracts and financial reporting preferred.
2. Extensive experience with accounting and fiscal reporting including expertise in Excel preferred.
3. Direct experience with Banner, Business Objects, TEM, PCard and other UIC/U of I software systems preferred.
4. Three years of experience in higher education or clinical administration preferred.
