A typical day as NEON’s Executive Assistant to the President provides an opportunity to support NEON’s President, executive staff, and clients by handling administrative tasks such as scheduling, writing correspondence, managing email communications, call routing, Board support and financial management.

Wages & Benefits

$26.44 - $31.25 hourly; NEON is proud to offer an incredibly robust benefits package to employees. Generous Paid Time Off (PTO) starting at 18 days per year, plus ten paid holidays, two floating holidays and a seasonal paid office closure for a week at the end of the year; 100% employer-paid health, dental, and vision insurance for employees and their familiesHealth Savings Account (HSA) fully-funded by NEON for individual or family coverage. There is employer paid basic life insurance with the option for additional coverage paid by the employee. The employer pays for Accidental Death and Dismemberment (AD&D) and short- and long-term disability insurance. NEON sponsors a retirement plan with 6% employer match after one year of service and immediate vesting.

Responsibilities will include the following:

  • Filing and retrieving records and data as requested by the NEON President.
  • Opening, sorting, and distributing incoming correspondence, including faxes and emails.
  • Reading and analyzing incoming emails, submissions, and reports to determine their significance and planning their distribution.
  • Greeting visitors and determining whether they should be given access to specific individuals.
  • Making travel arrangements for the NEON President.
  • Preparing agendas and planning for staff, board, and other meetings.
  • Preparing board reports and packets, scheduling board meetings, and coordinating board committee meetings.
  • Performing general office duties such as ordering supplies, maintaining records, managing systems, and performing basic bookkeeping work and digital file organization.
  • Attending, compiling, transcribing, and distributing minutes of meetings.
  • Coordinating and directing office services, such as records and budget preparation, personnel, and housekeeping to assist the NEON President.
  • Managing and maintaining the NEON President’s schedule.
  • Preparing invoices, reports, memos, letters, financial statements, and other documents using word processing, spreadsheet, database, and presentation software.

Who You Are

  • You must have a High School Diploma/GED or higher (Associate or Bachelor’s degree in Business Administration preferred).
  • You have a minimum of 3-5 years of relevant experience.
  • You are proficient with Microsoft Office Suite.
  • You must have strong computer and word processing skills.
  • You should have excellent interpersonal skills.
  • You can work effectively in a team environment.
  • You can function in an open workspace environment with heavy visitor traffic.
  • You have excellent attention to detail.
  • You possess excellent time and project management skills, including the ability to meet deadlines and switch focus quickly.
  • You can maintain a professional and friendly disposition.
  • You are able to dress in professional business professional attire.
  • You can demonstrate integrity and confidentiality.
  • You have excellent written and verbal communication skills.
  • You are self-motivated and able to work well under pressure.
  • You can tolerate periods of sitting and occasionally lift up to 50 pounds.
  • Experience working with diverse populations is a plus.
  • You have a valid driver’s license, access to reliable transportation, and the ability to meet NEON’s driving record requirements. Please note that if the license was not issued in the state of Minnesota, you have 60 days after becoming a Minnesota resident in which to apply for your Minnesota driver's license or permit.
