Management Assistant - Ela Township Administrative Office

Title: Management Assistant

Pay: $54,080- $62,400

Ela Township seeks a professional to join the Township’s Administrative Office. The Management Assistant works closely with the Township Manager and Administrative staff to complete a wide variety of tasks. These tasks include payroll processing, accounts payable and general ledger reporting, budget preparation, maintaining records, and providing residents with outstanding customer service. This position also works closely with all township department heads and staff.

Essential Functions

Assists with the processing of bi-weekly and monthly payroll for staff and elected officials. Ensures all payroll remittances are completed in accordance with state and federal law, including preparing quarterly payroll tax returns.

On-board and off-boards employees as required.

Responsible for all aspects of accounts payable including processing invoices for all payments and ensuring Form 1099 compliance.

Completes all general ledger inputs and ensures accuracy.

Monitors account balances, tracks expenses and prepares analyses of accounts related to financial activity to aid in producing monthly board audit reports.

Monthly bank statement reconciliation.

Assists Township Manger with budget preparation.

Works closely with the Township Manager on special projects as needed.

Assists residents with LIHEAP applications, temporary handicap placards, notary services, and is backup for the bus department as needed.

Other duties as assigned.

 

Position Requirements

Bachelor’s degree in accounting, or human resources preferred. Relevant work experience can be substituted.

Proficient in Microsoft Word, Excel, PowerPoint and Outlook.

Experience in municipal government is preferred.

Position requires ability to acquire certification as a Notary Public.

Willingness to take FOIA and OMA training highly preferred.
