Associate, Planning Administration - United Airlines

Job Overview And Responsibilities

Associate of Planning Administration will be responsible for non-profit partnership reporting and governance for all of United’s business units while supporting day to day needs of the Global Community Engagement Planning team. This role partners with Government and Regulatory Affairs and Legal to ensure business units are supported as they engage with community and civic organizations, while managing associated vendors and reporting. This opportunity focuses on deliverables such as vetting ethics/compliance, solicitation intake, workflow process improvements, financial management and tactical responsibilities to support the team.

Vetting/Ethics and Compliance Process
  • Maintain, evaluate and improve Ethics and Compliance portal as well as ongoing process for non-profit partnership vetting and review process across the company.
  • Collaborate with stakeholder groups to ensure business unit needs are considered and supported to ensure compliance and data collection.
  • Engage ethics and compliance and government affairs legal counsel monthly to share learnings and continue to evaluate the process and the changing needs of the business units.
  • Serve as day to day manager of vendor relationships for ethics and compliance process and facilitation.
  • Work across the company to promote use and efficient interaction with ethics and compliance process through team briefings
  • Collaborate with analytics team members to create consistent inputs for reporting and be responsive to business unit needs for metrics.
Solicitation Intake and Workflow Process
  • Maintain, evaluate and improve solicitation intake process and workflow to support the needs of the Global Community Engagement team.
Finance
  • Managing all Planning and Program Administration purchasing card payments including reconciliation (Oracle system)
  • Maintain Planning and Program administration payment and budget trackers as invoices are received and paid
Divisional Administration
  • Handle administrative duties such as mail pickup, ordering supplies, FedEx shipments, etc.)
  • Manage promotional item orders and shipments for program administration team."
Required
  • Bachelor's degree in business, non-profit management, public policy or equivalent work experience required
  • 2+ years of experience with program management, senior level/executive administration and entry level finance
  • Ability to prioritize and meet strict deadlines with great time management skills
  • Very well organized and ability to coordinate and multi-task various responsibilities
  • Attention to detail with organic innovation and inquisitiveness
  • Demonstrate strong verbal and written communications skills with skillful articulation
  • Must be highly skilled in Microsoft Office, PowerPoint, Excel, Word, Outlook
  • Possess strong interpersonal skills, with a focus on teamwork
  • Demonstrate strong organizational and project management skills
  • Must be legally authorized to work in the United States for any employer without sponsorship · Successful completion of interview required to meet job qualification
  • Reliable, punctual attendance is an essential function of the position
