What: The Metropolitan Mayors Caucus is hiring a Part-Time Program Assistant.
The Part-Time Program Assistant provides a variety of program and administrative support including but not limited to records management, Salesforce administration, and civic engagement. This position reports primarily to the Project Manager. The position may be renewed after 1 year, contingent on funding availability.
The Program Assistant performs the following types of duties:
- Assists local governments in the planning, development, and implementation of projects.
- Performs duties relevant to the administration and operation of energy efficiency program.
- Handles basic administrative functions in Salesforce.
- Assists in the coordination of paperwork for pre and post-award documents.
- Develops and maintains accurate records of projects.
- Administrative support to the Project Manager including but not limited to general correspondence, answering phone calls, and meeting preparation.
- Enters information into spreadsheets and databases.
- Compiles routine reports from readily available information.
- Assists with reconciliation of accounts.
- Coordinates events which may include scheduling rooms and/or guest speaker & arranging for routine materials and technology.
- Answers inquiries from elected officials, local governments, project team, and other contacts.
- Support project team in development and implementation of marketing and outreach plans.
- Acts as a secondary liaison between project team and local governments.
- And other duties, as assigned.
The Program Assistant possesses the following knowledge and traits:
- An ability to manage tasks across multiple projects and work independently;
- Strong customer-service and communication skills;
- Working knowledge of, or interest in, public sector program administration;
- Working knowledge, or interest in, Salesforce reporting, entry, and admin;
- Works with a high degree of accuracy and attention to detail;
- Ability to understand and follow complex administrative procedures and governing policies;
- Strong aptitude with Microsoft Excel, (or Access), Outlook, and other Office programs;
- Demonstrates responsible, professional behavior and helpfulness;
- Ability to express information effectively to individuals and groups, both orally and in writing;
- Ability to understand and follow oral and written instructions;
- Desires to be part of an organization that is dedicated to building consensus to solve complex regional issues; and
- Working knowledge of municipal government administration;
Education and Experience - At minimum, the Program Assistant must be enrolled in an undergraduate or graduate program pursuing a degree in marketing/communication, public policy, public or business administration, urban planning, public affairs, or a related field. One year of work or internship experience is desired.
Employment and Working Conditions - The Part-Time Program Assistant will work, on average, between 10 - 20 hours a week. Work will primarily be performed at the Metropolitan Mayors Caucus office, which is located inside the Willis Tower. Required travel will be compensated at standard rates. The hourly rate for this position is $17.00.
The ability to operate a computer and office equipment; work at a desk for hours; lift no more than 25 lbs; and communicate on the phone, in-person and via email is required. Hours of work will generally be between 9 AM and 5 PM though travel or additional duties before and after these standard hours may be required. Project work load and deadlines will dictate hours required. Flexible scheduling will be possible at times.
The position is part-time, available immediately and is contingent upon funds.
