Gift Processing and Database Analyst, Obama Foundation - Chicago, IL

 Purpose of Role

The Gift Processing and Database Analyst is a member of the Development Data & Insights team. The Analyst is responsible for efficiently managing, reviewing, and processing outright gifts, pledge donations, and pledge agreements while maintaining and optimizing the database for accurate and up-to-date donor information. This position is crucial in ensuring that all donations are recorded accurately, donors are appropriately acknowledged, and fundraising efforts are effectively tracked and analyzed for future planning and strategy.

The Gift Processing and Database Analyst collaborates closely with gift officers, Prospect Research, and Donor Relations teams to deliver outstanding customer service to donors and their representatives. The Analyst collaborates closely with the Finance team on accounting data points and ledger reconciliation. The Analyst is one of the Development team’s main points of contact for addressing donor inquiries related to wire transfers, mail donations, and pledge agreements and payments.

As the Gift Processing and Database Analyst, you’ll be reporting directly to the Senior Director, Development Data and Analytics.

Core Job Responsibilities

  • Data Entry: Extract, review, enter, and process outright gifts and pledge agreements in Salesforce while continuously reconciling contribution details with the Finance team. Create and maintain all pledge reminders and gift invoicing. Oversee weekly gift processing review for all transactions related to the development team (lockbox, wire transfers, ACH, third-party vendor portals, matching gifts, stocks, in-kind donations, etc.).

  • Development Training: Design and deliver training sessions on data integrity best practices, database management, analysis techniques, and donation processing procedures to enhance the skill set of team members. Design curriculum and implement quarterly training sessions for development analysts.

  • Database Management: Create, manage, and update Salesforce reports and campaigns that result in up-to-date and accurate data for the Development team’s daily use. Maintain a donor database with accurate and timely data, including duplicate account merges.

  • Quality Assurance & Testing: Provide quality assurance testing and analysis in the Salesforce testing environment to optimize and identify issues and limits before final enhancements and bug fixes are delivered into production.

  • Record-keeping: Capture and maintain accurate and impeccable donor and prospect information.

  • Performs other duties as assigned.

Key Deliverables / Outcomes

  • Incoming donations, pledge agreements, and donor contact information are accurately recorded and maintained in Salesforce.

  • Gift receipts, pledge reminders, overdue notices, and acknowledgments are punctually and accurately generated.

  • Collaborates with the Finance team for pledge and ledger reconciliation, including notifying key staff members concerning outright gifts, pledge payments, and gift agreement amendments.

  • Accurate documentation of the manual and automated gift processing workflows are created and maintained.

  • Works closely with the IT team to test and implement new database features for the development team and to deliver system updates for the foundation’s end users.

  • Troubleshoots database issues in a timely manner.

  • Incoming donor inquiries are addressed promptly and with outstanding customer service.

Required Qualifications

  • Proficiency with data entry and extraction. Previous experience with CRMs, data cleanup, and project management is required. Experience with Salesforce preferred.

  • Strong interest in advancing database management skills.

  • Familiarity with technological instruction or customer service and comfort interacting with nonprofit constituents from diverse cultural and organizational backgrounds.

  • Strong prioritization skills to effectively juggle short-term and long-term tasks and responsibilities in an entrepreneurial, fast-paced environment.

The salary range for this role is between $51,965 and $64,980.

Essential Functions

How You'll Help:
We are seeking a Principal Data Analyst to join our team of higher education data experts. The analyst will work closely with multiple client partners within our Benchmarking Consortium to analyze their academic and administrative labor costs to maximize their workforce planning and budgeting. The ideal candidate will have a strong background in analyzing budget and human resource data within a higher education setting and prior experience working directly with university leadership . Strong communication, presentation, and relationship management skills are a must.

What You Will Do:

  • Develop subject matter expertise in the HelioCampus Benchmarking Consortium platform and the underlying data to guide client partners in the use of the data to answer strategic institutional workforce questions.
  • Develop and maintain standard analytical dashboards, reports, and visualizations to effectively communicate insights and present recommendations to university stakeholders.
  • Analyze benchmarking staffing and financial data for higher education institutions.
  • Develop Consortium-wide standard analyses to identify trends and areas of strategic importance across institutions.
  • Develop and deliver custom analyses that extend beyond the standard analyses library – intended to provide a deeper level of analysis for clients who pursue that analysis path.
  • Provide thought leadership by presenting findings and trends to clients and more broadly in Consortium events meetings and webinars.
  • Manage timelines and scope for client and internal benchmarking projects.
  • Leverage enterprise business intelligence tools, SQL queries and other resources to develop complex dashboards and reports.
  • Serve as the main point of contact between the Analyst team and Product team supporting the Benchmarking Consortium.
  • Contribute to the HelioCampus product roadmap for Benchmarking Consortium service delivery.
  • Work closely with the HelioCampus technical development team to maintain consistency between the Benchmarking platform charts and Tableau Insights Analysis templates.
  • Maintain accuracy and quality of Benchmarking data extracts.

    Projects You'll Work On:

    • Client analysis deliverables for Benchmarking Consortium members.
    • Analysis content development for client webinar and product marketing client engagement opportunities.
    • Management and curation of Insight Analysis library, include creation of dashboard templates to standardize analysis deliverables.
    • Delivery improvement initiatives pertaining to higher education finance and staffing analysis for our Benchmarking Consortium.
    • Contribute to efficiency initiatives to streamline and improve existing delivery processes.
    • Tableau analysis development, documentation, and presentation materials to support product roadmap.

    You Will Be a Good Fit For This Role If You Have:

    • A minimum of 7 years of experience performing analytic functions in higher education or working as a consultant in higher education.
    • Deep understanding of one or more key areas of higher education (preference for Finance & Administration, Budgeting, HR, Strategy & Planning).
    • Excellent communication and presentation skills, including the ability to communicate effectively with both functional and technical stakeholders, as well as proactively tease out unspoken questions or opportunities for clarification
    • Experience presenting findings to mid-to-senior-level executives
    • Experience working with data from one or more Financial, HR, or Student Information Systems (e.g. Banner, PeopleSoft, Colleague, Workday).
    • Experience developing technical requirements for reporting and analytic purposes.
    • Knowledge of SQL and/or other database query languages
    • Expertise leveraging reporting and data visualization tools (e.g Tableau and Power BI) to manipulate, analyze and present data and to develop dashboards and reports.
    • Strong understanding of data warehouse concepts and experience working with large data sets.
    • Ability to work effectively and independently on multiple priorities with strict deliverable dates.
    • Experience working closely with both business users and technical development teams.

      Nice To Have’s Include: 

      • Experience with higher education financials (General Ledger, etc.) and/or cost analytics.
      • Expertise with budgeting, resource allocation, and financial decision-making processes in higher education.
